Dock & Dory is hiring: Admin + Invoicing Support (Part-Time / Contract)

Dock & Dory, a female-owned agency catering to small biz and non-profits, is growing and we’re expanding our team. We’re looking for a reliable, detail-obsessed admin/invoicing wizard to help us keep the day-to-day flowing—especially around daily/weekly invoicing and light admin support.

This is a great fit for someone who loves tidy systems, clear checklists, and the satisfaction of a perfectly tracked invoice.

Role Type
-Part-time OR freelance/contract
-Remote-first (Atlantic Canada-friendly hours are a bonus but not a deal breaker)
-Flexible schedule, with time-sensitive tasks (invoicing) needing consistency. Sometimes we have invoices that need to go out that day, others that week.

What you’ll be doing
-Create and send daily/weekly invoices (based on templates + processes we provide)
-Track invoice status (sent/paid/follow-up) and keep everything organized
-Basic admin tasks like:
• Updating client records and folders
• Managing simple tracking sheets (Google Sheets)
• Light inbox support (sorting/flagging/responding to basic client admin questions)
• Scheduling or confirming calls/meetings as needed
-Keep internal systems tidy

What success looks like
-Invoices go out accurately and on time (no chasing, no scrambling)
-Clean tracking and clear notes so nothing slips through cracks
-You’re proactive—if something looks off, you flag it early

You’re a great fit if you…
-Are highly organized and genuinely enjoy admin work
-Have experience with invoicing, billing, or bookkeeping-adjacent admin
-Communicate clearly and professionally (and don’t ghost)
-Are comfortable with tools like:
• Google Workspace (Docs/Sheets/Drive)
• PDF tools (basic editing/exporting)
• QuickBooks, Xero, Wave, Dubsado, HoneyBook, etc.

Bonus points (not required)
-You’ve worked with an agency, small business, or service provider
-You love SOPs/checklists and can help improve them
-You’re familiar with Canadian and US tax basics or invoice compliance

Compensation
-Paid hourly or per invoice batch (depending on whether we go part-time employee or contractor). Rate based on experience

Create a “Home Base” for everything.
One place for client info + files + notes (even if it’s just one Google Drive folder + one simple tracker). If you have to hunt, you’re leaking time.

Write one repeatable checklist for your most common task.

Totally fair.

But here’s the truth most people won’t say out loud:
AI doesn’t replace good operators.
It exposes where systems are missing.
If your processes live only in your head, AI feels overwhelming.
If your work is documented even a little, AI becomes incredibly useful.

AI works best when:
