What's a healthy profit margin for a daycare? 📊

40% to 60%.

If yours is lower, you have a pricing problem or a cost problem. ⚠️

Here's the math:

Revenue (tuition collected)
➖ Costs (staff, rent, supplies, insurance, etc.)
📊 Profit

Profit Margin = (Profit ÷ Revenue) × 100

Example:
💰 Revenue: $50,000/month
💸 Costs: $30,000/month
✅ Profit: $20,000/month
📈 Profit Margin: 40%

If your margin is below 40%:

👉 Your tuition is too low (pricing problem)
👉 Your costs are too high (efficiency problem)
👉 Your occupancy is too low (enrollment problem)

Track your numbers monthly. 📋

You can't improve what you don't measure.

When a parent asks for a discount, it's a test of your confidence. 💪

If you cave, you signal that your price was inflated to begin with. Hold the line.
Here's the script: 📋

"That's a great question. We don't offer discounts because we believe in equitable pricing for all our families. We've set our tuition at a rate that allows us to attract the best teachers and provide the highest quality program — and we feel it's a wonderful value for what's included. We do have options for payment plans if that would be helpful."

Firm. Fair. Pivots to a helpful alternative. ✅

It protects your margin and your brand integrity. 🏆

How much should you spend on marketing?

5-10% of Revenue on Marketing

Example:

Monthly revenue: $50,000
Marketing budget: $2,500-$5,000/month

What to track:

COST PER LEAD
Marketing spend ÷ Number of inquiries
Target: $50-$150 per lead

COST PER ENROLLMENT
Marketing spend ÷ Number of new enrollments
Target: $200-$500 per enrollment

The key: Track what works and double down.

If Facebook ads generate leads at $75 each and Google ads generate leads at $200 each, shift budget to Facebook.

Is your tour no-show rate over 20%? You're not alone. But it's also not acceptable.

The #1 reason for tour no-shows is a weak (or nonexistent) reminder system.

Here's the fix: The 3-Touch Tour Confirmation Sequence.

1. Immediately After Booking: Send a calendar invite + confirmation email with directions and a picture of your center.
2. 24 Hours Before Tour: Send a reminder email and/or text. Reconfirm the time and express your excitement.
4. 2 Hours Before Tour: Send a final, simple text: 'Looking forward to seeing you at 10am today!'

This simple sequence can cut your no-show rate by over 50%.

You track the big expenses: payroll, rent, insurance.

But the hidden costs are what kill your profit. 💸

⚠️ Overstaffing During Low-Enrollment Periods
You keep the same staff levels year-round, even when enrollment dips in summer. Result: staff costs balloon to 70% of revenue.

⚠️ Energy Inefficiency
Your HVAC system is 15 years old and running 24/7. You're paying 30% more in utilities than you should.

⚠️ Supplier Contracts You Never Renegotiated
You've been with the same food supplier for 5 years. Never asked for a volume discount. You're overpaying by 15%.

The fix: audit your expenses quarterly. 📋

👉 Subscriptions you don't use
👉 Contracts you can renegotiate
👉 Inefficiencies you can eliminate

Small leaks sink big ships. 🚢

Stop wasting time on unqualified leads.

These are the ONLY 5 questions you need to ask to qualify a parent in under 5 minutes:

1. Are they looking for immediate care or just browsing for the future?
2. What's their main reason for seeking new childcare right now?
3. Do they live or work near your location, making enrollment convenient?
4. Have they toured other centers, and what did they think of them?
5. What is their ideal timeline for starting their child in your program?

These 5 questions tell you: ✅ Urgency level ✅ Fit for your program ✅ Likelihood to convert ✅ How to personalize the tour

Keep it simple. Keep it under 5 minutes. Book the tour.

Inconsistency kills trust.

When your website says one thing, your tour says another, and your parent handbook says something else entirely, parents get confused.

Confusion = Lost Enrollment

The fix: Consistency across all touchpoints

WEBSITE → "We offer daily photo updates"
TOUR → "Here's the app we use for daily photos"
ENROLLMENT → "Download the app and start receiving photos on Day 1"
EXPERIENCE → Photos actually arrive daily

Same message. Every time.

When parents experience consistency, they trust you. When they trust you, they enroll. When they enroll, they stay.

💭 "I think we have a few tours this week..." is not a system. 🚫

A 10-stage enrollment pipeline gives you a crystal-clear view of your entire enrollment process, from first touch to first day. 👶➡️🎒
Here are the stages every center should track: 📋

🆕 New Lead
📲 Attempting to Contact
🗣️ Contacted / Qualifying
📅 Tour Scheduled
✅ Tour Completed
📧 Follow-Up Sequence
🤔 Decision Making
📝 Enrollment Packet Sent
💳 Deposit Paid / Enrolled
⏳ Nurture / Waitlist

When you track leads through these stages, you can see exactly where your funnel is leaking and fix it. 🔍🛠️

🛑 Stop guessing. 📊 Start tracking.

Pricing is part art, part science. 🎨🔬

📉 Price too low → You're unprofitable and undervalued
📈 Price too high → You lose families to competitors

🔑 The 3-Step Pricing Strategy:
1. 🔍 RESEARCH LOCAL MARKET RATES
Call 10 competitors. Ask about tuition for each age group. Find the average.

2. 📊 TIERED PRICING BY AGE GROUP
👶 Infants cost more to care for (lower ratios) = Higher tuition
🧒 Preschoolers cost less (higher ratios) = Lower tuition

3. ⭐ VALUE-ADDED SERVICES
Justify premium pricing with:
🥗 Organic meals included
⏰ Extended hours (6am-6:30pm)
🎵 Enrichment programs (music, STEM, language)

💡 The key: Don't compete on price alone. Compete on VALUE.

When parents understand what they're getting, they'll pay more. 💰✨

The call you make after a tour is booked is just as important as the first one. 📞💡

Use this 'Warm Welcome' script within 2 hours of a parent booking a tour to build rapport and reduce no-shows: ⏰

💬 "Hi [Parent Name], this is [Your Name] from [Your Center Name]. I saw you just booked a tour with us for [Date] at [Time] and I wanted to personally reach out and say how much we're looking forward to meeting you and [Child's Name]. Is there anything specific you're hoping to see or learn about during your visit?"
That's it. ✅ It's simple, personal, and shows you care. ❤️

⏱️ It takes 60 seconds and can dramatically increase your tour show rate. 📈
