"AI will revolutionise everything."

Sound familiar? It should! It's everywhere right now. But here's the truth: most AI projects don't fail because the AI is bad. They fail because the underlying data is poor.

AI isn't magic. Actually, it's quite the opposite. You're only ever as good as the data it can pull on the moment you prompt it. And if your CRM is full of duplicates, half-finished records, and information someone keyed in wrong six months ago, your AI will give you confidently wrong answers, beautifully formatted.

Rubbish in, rubbish out. Simple as that.

The fix? Two things most businesses skip:

1️⃣ Clean, structured data: your CRM doesn't magically stay clean. Just like an office. Someone has to look after it.

2️⃣ A CRM Champion: somebody whose actual job it is to keep the data trustworthy. In small businesses and solopreneurs, that's usually you. In medium-sized businesses, it needs to be a named role. Without that person, even the most expensive CRM becomes a very expensive address book.

And here's the bonus most people miss: strong systems make GDPR and compliance easier - not harder. Operational maturity and compliance maturity go hand in hand. One feeds the other.

10 years... an entire decade of transformation!

When I launched my first website in May 2016, I couldn’t have imagined where that road would take me. Today, I'm celebrating a journey that's taken me from solo consultant to trusted strategic independent and tech agnostic partner for organisations navigating digital transformation and CRM/AI implementation.

From opening our Boxworks office in 2017, to a complete rebrand in 2020, to returning to UCD for postgraduate qualifications in Digital Transformation Management and Project Management, every milestone has been about deepening my expertise and delivering real impact for our clients.

Some of the highlights include:
👉 first launch in May 2016
👉 full rebrand in 2020
👉 features in leading publications
👉 guest appearances on podcasts
👉 recognition for our online presence, and our contribution to STEM
👉 supporting many, many amazing businesses and organisations

But my own real measure of success is in the relationships built with the incredible people I've had the privilege to work with - and the transformations we've achieved together.

AI shouldn’t be a leap of faith. It should be a calculated step. I had the absolute pleasure of doing a deep-dive info session with the brilliant Margaret Julian, a leading Compliance Specialist. Together, we explored the "missing middle" of Business and Digital Transformation—the foundations you need before you even think about hitting the "AI Start" button.

🧠 Everyone’s chasing AI insights from their CRM - but let’s be honest, many databases are running on rubbish data. 🤷♀️

And when you feed rubbish into AI, you get rubbish out. That means unreliable recommendations, wasted time, and sometimes, embarrassing missteps.

The biggest data culprits I see:

🧩 Duplicate records - one contact listed five different ways.
📭 Incomplete information - missing notes, phone numbers or company details.
❔Modules/Objects not being associated to each other - Deals should always be associated to the correct organisation and primary contacts.
📉 Outdated data - contacts who’ve left months ago.
🔠 Inconsistent formatting - “CEO” vs “Chief Executive Officer” confusing your AI.

You don’t need spotless data to start, but you do need structure:

🔍 Run a quick data audit.
📋 Create data entry standards.
🧹 Hold regular cleanup sessions - even 30 minutes weekly helps.

Data hygiene isn’t a one-off project - it’s an ongoing commitment.

Forget everything you think you know about AI in CRM. We're not talking about simple automation anymore. Agentic AI is like having a digital colleague who actually thinks, learns, and takes initiative. But what does that mean for your business?

Traditional AI follows rules: 'If this, then that.'

True Agentic AI sets its own goals and figures out how to achieve them.

We’re still in a transitional phase when it comes to agentic AI, but the possibilities are endless!

Eventually, it will analyse your entire pipeline, identify at-risk deals, draft personalised follow-up emails, schedule meetings, and even predict which prospects are most likely to convert. It will be proactive, not just reactive. (some CRMs have this ability already - but it's not truly agentic yet!)

Imagine your AI assistant notices a key prospect hasn't responded in two weeks, whilst you are driving safely in the car - it begins to talk to you and engage in it's findings. Instead of just flagging it, it could analyse their engagement history, check their company news, and suggest three different re-engagement strategies. It might even draft personalised messages for each approach - or ask you, would you like to call them now.

Right now, we still can't just talk to CRM AI like a human assistant and expect magic. But I have no doubt we’ll get there. And when we do, it will still need clean data, proper setup, clear parameters, and ongoing human oversight. It will be incredibly powerful, but it won’t be just plug-and-play. (there's some great very new add on tools that work with *some* CRMs that are taking voice recognition and agentic for Sales reps on the road - to the next level)

The future is human-AI collaboration. You provide the strategy, relationship skills, and decision-making. AI handles the data analysis, pattern recognition, and routine tasks.

When NOT to Use AI in Your CRM
Everyone's rushing to add to their , but sometimes the smartest strategy is knowing when NOT to use it. Here are the situations where AI might actually hurt your business.

☑️ First red flag - your data is inconsistent or incomplete. AI can amplify existing problems. If your contact records are missing key information, duplicated, or outdated, AI will make decisions based on bad data. Fix your data foundation first.

☑️ Second warning sign - your sales processes aren't clearly defined. AI needs structure to work effectively. If your team is winging it, making it up as they go, AI can't help optimise something that doesn't exist.

☑️ Third scenario - highly regulated industries or sensitive negotiations. When every interaction needs human judgment, compliance oversight, or cultural sensitivity, AI can create more risk than reward. Some conversations are too important to automate.

☑️ Finally, if your team isn't ready for change, AI implementation will fail. Resistance, lack of training, or fear of technology will sabotage even the best AI system.

Often, the smartest move is getting your basics right first - clean data, defined processes, team buy-in. Then AI becomes a powerful amplifier instead of an expensive mistake.

The reality?
