Job Title: Property Manager/Administrator VA

Location: Remote

Rate: P35,000 - 40,000/monthly

Job Type: Full-Time (Monday-Friday, 9:00am to 6:00PM UK TIME)

Position Overview: As the Virtual Property Manager/Administrator, you will be responsible for answering and managing property-related calls and emails, liaising with tenants, landlords, contractors, and internal teams to address property management and sales inquiries. You will also handle tenant requests, contractor coordination, and ensure compliance with property management processes.

Key Responsibilities:
Property Management Calls & Emails:
Answer and respond to calls/emails regarding property viewing, lettings, and sales enquiries.

Address property management issues raised by tenants or landlords, ensuring a timely resolution.

Book viewings and valuations for properties.
Take messages and direct them to the appropriate team member.

Property Management Tasks:
Communicate with contractors, landlords, and tenants to resolve maintenance issues.

Obtain quotes from contractors, gain landlord approval, and ensure work is completed to satisfaction.

Ensure compliance with property licensing and certifications (HMO licenses, EPCs, gas certificates, etc.).

Manage tenancy renewals and organise rent protection on managed properties.

Handle deposit release disputes and negotiate returns for tenants and landlords.

Ensure properties meet required compliance standards, including Right to Rent checks.

Contractor Management:
Maintain and update an extensive list of trusted contractors for various trades (plumbers, electricians, gas engineers, cleaners, builders, etc.).

Ensure there are at least three contractors available for each trade at all times.

Let Pack Management:
Review and sign off on "Let Packs" to ensure all necessary documents are in place before tenancy begins.

Ensure Terms of Business (TOB) are signed, references are completed, and tenancy agreements are sent and signed by all parties.

Book inventories, inspections, and ensure all move-in documents are completed and filed.

Qualifications:
Proven experience in property management or administrative roles, preferably in lettings and property management.

Strong communication skills with the ability to handle calls and emails in a professional manner.

Ability to work independently and manage multiple tasks efficiently.

Excellent attention to detail and organizational skills.

Experience with property management software (Gnomen, Buildium, etc.) is a plus but not required.

Strong knowledge of property compliance, including licensing, EPCs, gas and electrical certifications.

Ability to liaise with contractors, landlords, tenants, and internal teams in a timely and effective manner.

High-speed internet and a reliable computer setup for remote work.

Preferred Skills:
Experience working with multiple property management companies or estates.

Knowledge of Right to Rent checks, tenancy agreements, and landlord-tenant regulations.
Familiarity with property inspection and inventory processes.

👉We are looking for a detail-oriented and organized General Virtual Assistant with a background in construction and structural engineering.

The ideal candidate should have experience in providing administrative support and be familiar with construction terminology and processes.

👉Responsibilities:
- Excellent in written and verbal communication skills
- Answer phone calls
- Provide general administrative support such as email management, calendar management, and data entry
- Conduct research on construction-related topics
- Assist in project coordination and management
- Communicate with clients, contractors, and other stakeholders
- Assist with document preparation and organization
- Perform other tasks as assigned

👉Requirements:
- Preferably Bachelor degree holder (any course)
- Proven experience as a virtual assistant or in a similar role is a plus
- Background in construction and structural engineering is a plus
- Familiarity Monday.com CRM is a plus
- with reliable computer at least i7 16GB RAM, stable internet connection and headset with noise cancelling feature
- Proficiency in MS Office and Google Suite
- Strong organizational skills and attention to detail
- Ability to work independently and meet deadlines

👉Start date: Provisionally 1st week of April
Salary : between 40k to 45k monthly
