🔥 January Is Trade Show Madness

Las Vegas and Orlando are absolutely packed right now.

World of Concrete and SHOT Show are both happening in Vegas from January 20–23. That's concrete mixers and custom fi****ms sharing the same city for four days. Only in Vegas.

Meanwhile, Orlando is hosting back-to-back heavyweights: the PGA Show (Jan 20–23) and the International Roofing Expo (Jan 27–29). Golf clubs one week, roofing shingles the next. Talk about range.

This is our favorite time of year. The buzz. The crowds. The exhibitors who planned months ahead and are now crushing it on the show floor.

If you're there right now, we're rooting for you.

And if you're not there? Start thinking about your next show. Because January always sneaks up faster than you think.

You just got approved for three trade shows next year.

Your boss asks: "Should we finally buy a booth?"

Sounds simple. But then you think about storage. Repairs. What happens when the booth size changes? What happens when marketing rebrands in six months?

Suddenly, "buy once and done" no longer feels so simple.

We wrote a post that walks through the real costs of renting vs buying:
- Budget and cash flow (the stuff your CFO cares about)
- Flexibility when show sizes change
- What rebrands do to a booth you own
- Storage, repairs, and waste

We rent booths for a living, so yeah, we are biased. But the math usually backs us up. Most exhibitors save money with rentals once the hidden costs of owning add up.

If you looked at your next three years of shows, would you rather own one booth or rent what you need for each event?

is next week. If you’re exhibiting, the best conversations don’t start with “How are you enjoying the show?”

They begin with questions that demonstrate your understanding of the industry challenges your audience cares about. Here are a few questions to keep in your pocket.

Hotel Groups:
· What’s driving group bookings for you right now?
¡ Where do you see the biggest drop-offs in revenue (cancellations, last-minute attrition, something else)?
¡ How are you adjusting your strategy to win more incentives or corporate business?

Exhibition Venues:
· Which services are planners asking for that you can’t consistently deliver?
¡ How are you competing with non-traditional event spaces?
· What’s the biggest investment your venue is making in the next year?

Cruise Lines:
¡ What makes a corporate or incentive booking valuable for you beyond ticket sales?
¡ Where are you seeing new demand? Short trips, extended programs, or themed experiences?
¡ How do you handle risk concerns from event buyers?

Attendees (Meeting Planners, Agency Heads, Association Executives, Incentive Travel Buyers, In-House Experts):
· What’s your biggest obstacle in getting stakeholder buy-in for events?
¡ How do you decide which partners to trust with your budget?
¡ What trends are your attendees pushing you to respond to? Wellness, sustainability, hybrid options, or something else?

The more specific the question, the more valuable the conversation. That’s how exhibitors stand out at IMEX.

👉 What’s one question you always ask that sparks a real discussion?

Think you’ve nailed your trade show budget?

Most exhibitors do… until the drayage bill shows up, staff expenses roll in, and the “little extras” eat through ROI faster than free candy at the booth.

A trade show budget isn’t just one number on a spreadsheet. It’s a plan that covers:

- Picking the right shows (not just the biggest ones)
- Multi-year strategies that save real money
- Risk buffers when things go wrong (because they will)
- Tracking ROI so you can prove what worked

From hidden costs to staff productivity, this new article lays out how to budget properly for your next show.

What’s the single biggest surprise cost you’ve ever had at a show?

week is here. If you’re on the floor, this is your moment.

Quick wins to keep in mind:
• Greet people within 5 seconds. Eye contact beats a freebie every time.
• Keep the aisle edge clear so people can step into your booth.
• Lead with one strong question, not a pitch.
• Log every lead before the next conversation (trust me, you’ll forget later).
• Reset the booth at lunch so it looks fresh all day.
• Swap shoes midday and remember to hydrate. Your feet and body will thank you.
• Snap a few photos now for follow-up emails later.

Fun statistic: 38% of attendees visit a company’s website after seeing its booth. Make sure they find something worth visiting.

What’s the first thing you’ll ask when someone steps up? And how will you make sure today’s conversations turn into next month’s calls?

Wishing you smooth demos, steady traffic, and conversations that count.

Is this your first time managing a trade show booth?

If it is, we’ve got some questions...

Did you remember to order power?
Did you show up thinking your booth would be ready to go?
Did anyone on your team practice what to say?

We’ve seen first-time exhibitors forget all of the above (and more). So we put together a no-fluff guide to help you skip the stress and look like you’ve done this before.

Inside:
📦 The mistake that gets you stuck next to the break room
🧯 The last-minute scramble for power and internet
🎁 Why free swag isn't a lead strategy
🙈 And how to keep your booth staff from winging it

If your entire trade show strategy is “because they’ll be there,” we need to talk.

📊 54% of businesses attend trade shows solely because their competitors are present.

Not to connect with buyers. Not to launch anything new. Not even to build relationships.

Just to not get left out.

And hey, we get it. Nobody wants to be the only booth missing from the show floor.

But here’s the problem: if you show up with no plan and no story, you still get left behind. Just… more expensively.

So ask yourself:
- What do you want attendees to remember 3 months from now?
- What conversations do you want your team to walk away with?
- What would make your booth worth stopping for?

If the only answer is “we showed up,” that’s not a strategy. That’s a budget line item.

Let’s change that.

We met an exhibitor at a show recently who was running his company’s booth solo. The setup looked like it was thrown together the night before. Wrinkled graphics. Borrowed furniture. A banner rigged up with clamps.

When we asked how the install went, he said, “To be honest, I built the whole thing right here on the show floor. We couldn’t justify the cost of a rental.”

We get it, trade shows aren’t cheap. When you’ve got a product to promote and a tight budget, it’s easy to default to DIY mode.

But here’s the problem.

Attendees don’t see “scrappy.”
They see “unprepared.”

You might save a few thousand up front, but that savings can disappear fast if your booth doesn’t stop anyone or spark real conversations.

This isn’t about looking flashy. It’s about helping decision-makers feel confident about you.
- Confident in your brand
- Confident in your product
- Confident choosing to work with you

Trade shows are hard enough. Stop gambling your ROI on a DIY setup.

46% of trade show attendees hold executive-level titles.

And who’s meeting them at your booth?

Is it your A-team, the ones who’ve pitched to execs, handled objections, and know your product cold?

Or is it just the folks who were available?

If your reps are new, nervous, or winging it, they’re not ready for that VP walking by.

Because that VP won’t wait for them to figure it out.

Trade shows aren’t practice. They’re the big stage.

And the people walking by? They’re not junior buyers. They’re the ones who sign checks.

This isn’t the time to get comfortable. This is the time to close.

Bring your closers. We’ll build the booth to match.

Tell us if you've heard this story before: Flew in from Chicago. Landed late. Didn’t sleep much.

Grabbed a $22 hotel breakfast and walked the show floor with one goal:
Find partners who get it.

Not vendors. Not order takers. Actual partners.

By 10:15, I was already tired of hearing the same pitch I heard last year.
Then I stopped at a booth that looked like it might be worth the time.

Sleek graphics. Big display. Nice lighting.

Two reps were sitting behind the counter.....both on their phones.

I stood there for maybe 15 seconds.
One of them glanced up, looked straight through me, and went back to scrolling.
Didn’t even nod.

So I walked.

Not because I’m hard to impress.
But because I made the effort to be here. I came ready to talk.

If your team can’t meet me halfway, I’m not wasting my day.

This is the part people forget. Attendee experience doesn’t start with your booth design.
It starts with the humans inside it.

🧠 People remember the way you made them feel.
And in a sea of booths, that’s what sets you apart.

If you're sending a team to exhibit, this post is worth reading:

We paid to be here.
Now earn our attention.

Attendees don’t want another brochure. They want real conversations and a reason to stay. This post breaks down how to make that happen, without adding to your show budget.
