Somewhere along the way, we made the word “systems” sound way more complicated than it needs to be.

Software.

Dashboards.

Integrations.

Process maps.

Consultants drawing boxes on whiteboards. 😂

Meanwhile, one of the greatest systems ever invented is:

A checklist.

Did we lock the door?

Did we send the invoice?

Did we take the before photos?

Did we ask for the review?

Did we put the tools back?

Did we follow up with the customer?

Nothing revolutionary.

But here's the point:

You don't have to remember any of it.

That's what a good system does.

It takes something important that used to depend on memory...

And makes it repeatable.

Most small businesses don't lose every lead because they're bad at sales.

Sometimes they lose them because Tuesday got busy.

Someone filled out a form.

You meant to call them.

Then a customer needed something.

An employee asked a question.

The phone rang.

You handled a job.

And suddenly it's Thursday.

Meanwhile, that customer?

They called somebody else.

That's one of the reasons I like automated follow-up.

Not because a robot should sell for you.

Because technology can make sure the customer hears:

“We got your message. Someone will be in touch.”

Even when you're standing on a jobsite and can't answer.

Automation shouldn't make your business less human.

It should make it harder for being busy to make you look like you don't care.

Here's a mistake that's really easy to make when you've owned a business for a while.

You assume things are obvious.

Of course we do commercial work.

Of course we service that town.

Of course we offer that service.

Of course we're open Saturdays.

You know all of that.

Your employees probably know it.

Your existing customers might know it.

But does Google know it?

More importantly...

Does someone who's never heard of you know it?

That's where I see a lot of visibility opportunities hiding.

Missing services.

Weak service descriptions.

Old photos.

Incomplete websites.

Google profiles that haven't really been touched since they were created.

Sometimes improving visibility isn't about some complicated SEO strategy.

Sometimes it's simply making sure the internet accurately explains the business you already built.

I've been thinking about something lately.

Years from now, our kids probably aren't going to remember how many emails we answered.

They won't remember that customer who needed something at 7:30 at night.

They definitely won't remember whatever “urgent” thing had us staring at our phone during dinner.

But they'll remember some weird stuff.

The truck you worked on together.

The time something broke and the repair went completely sideways.

The fishing trip where nobody caught anything.

The drive where you talked about absolutely nothing important.

The ordinary Saturday that didn't seem important at the time.

That's the funny thing about memories.

You usually don't know you're making one until it's already made.

There will always be more work.

I'm trying to get better at recognizing the other stuff while it's happening.

I think sometimes we're waiting for the big moments.

The big vacation.

The big purchase.

The business milestone.

The day we finally “make it.”

Meanwhile...

Dinner with your family happened tonight.

Your kid wanted to show you something.

Your wife told you about her day.

The weather was nice enough to sit outside.

Someone called just to talk.

Nothing you'd put on a vision board.

Just life.

And I'm starting to think those ordinary moments might actually be the stuff we're working so hard for.

Build the business.

Chase the goals.

Do something you're proud of.

Just don't become so focused on building a better someday that you completely miss a pretty good today.

Every small business eventually has a Mike.

Maybe his name isn't Mike. 😂

But everybody knows:

"Ask Mike. He knows how to do it."

Customer has a weird problem?

Ask Mike.

Nobody remembers how that job gets quoted?

Mike knows.

Something breaks?

Call Mike.

Can't find something?

Mike knows where it is.

Having experienced people is incredibly valuable.

But there's a problem.

What happens when Mike takes Friday off?

Or retires?

Or gets another job?

If important knowledge only exists inside one person's head, the business doesn't actually own that knowledge.

Mike does.

Your best employees shouldn't become single points of failure.

When somebody knows something important...

Get it out of their head and into the business.

Here's something business owners don't always like hearing:

The company showing above you on Google might not actually be better than you.

They might not do better work.

They might not have better employees.

They might not have more experience.

They may simply be making it easier for Google — and customers — to understand what they do.

Their profile is complete.

Their services are listed.

Their reviews are recent.

Their photos are current.

Their website backs up what their Google profile says.

Meanwhile, you might be doing incredible work...

But Google doesn't know that unless you give it the right signals.

That's one of the frustrating things about visibility.

Being good at what you do and being easy to find are two different skills.

You need both.

Labor Day weekend is here.

Which seems like a pretty good time for business owners to remember:

You are allowed to stop working.

There's a weird irony in entrepreneurship.

A lot of us started businesses because we wanted more control over our lives...

Then accidentally built ourselves a job where the boss never lets us clock out.

And the boss is us. 😂

Building something matters.

Providing for your family matters.

Serving your customers matters.

But so does being present for the people you're doing all of this for.

So close the laptop.

Put the phone somewhere you can't hear it for a while.

Go make a memory.

The business will be waiting Tuesday.

Here's another way to find the systems missing from your business:

Think about the last vacation you took.

How many times did somebody call you?

"Where is...?"

"How do we...?"

"What do I tell...?"

"Who handles...?"

Every one of those questions is useful.

Because it's showing you something the business doesn't know unless you're there.

Don't get frustrated with the person asking.

Write the answer down.

Next time, they don't need you.

Do that enough times and something pretty cool starts happening:

You can actually leave.

Don't automate chaos.

If your process changes depending on who's doing it...

If nobody agrees on what happens next...

If half of it lives in someone's head...

Automation probably isn't your first problem.

Write the process down.

Run it.

Fix the stupid parts.

Run it again.

Then automate it.

Technology is really good at doing exactly what you tell it to do.

Unfortunately, that includes doing a bad process faster. 😂
