The follow-up process is initiated when a new contact is tagged as a "PPC Lead" or when the term "loan" is associated with a phone number. This triggers a series of actions:
- Leads are evenly distributed among team members using a round-robin assignment.
- Loan officers receive SMS and email notifications containing lead details for prompt follow-up.
- Automated communication with borrowers through text messages and emails is established to verify information and prompt responses.
- A structured approach involving 12 text messages and 8 emails is adopted over a 10-14 day period to maintain consistent engagement.
Key Assumptions:
- Team members are proficient in navigating the CRM system and effectively managing their assigned leads.
- The follow-up sequence caters to unresponsive leads, ensuring sustained interaction.
- Leads automatically progress to the "replied" stage upon responding during the sequence.
Testing Protocol:
- Validate lead assignment functionality to ensure equitable distribution among team members.
- Confirm accurate delivery of SMS notifications to loan officers post-lead assignment.
- Ensure emails contain precise lead information in both subject lines and body content.
- Simulate borrower interactions to assess the system's response to replies and proper lead stage transitions.
- Monitor the entire follow-up sequence to guarantee timely dispatch of all scheduled messages.
