Well hello there, awesome potential Executive Assistants.
My name is Amanda and I’m a serial entrepreneur here in Montana. I’m the founder of Firebrand Creative and Turning Tree Properties and a strategic partner in a few other companies.
I consider myself a fairly good founder and CEO but am pretty much useless at a lot of other things. I can and will break a spreadsheet. The follow-up after I've already followed up i.e. chasing down a vendor to clarify an invoice or to change an appointment. Scanning and organizing receipts, invoices, etc. Organizing anything in Drive. Timely responses to tenants or nonurgent client matters while stuck in back-to-back meetings. Or put another way, it takes a huge amount of energy to do these things and they take me away from the important work of business development and client services. This is where you come in.
Knowledge is power, so I’m now attempting to bring an executive assistant to protect me from myself and to lower my cortisol levels. A yin to my yang. A ping to my pong. The peanut butter to my jel… I’ll stop.
I’m looking for a long-term partner to fill an integral role in Amanda Inc. (as I like to call it). Someone who loves organization, executive summaries, and figuring out how to do new things (there are always new things).
An integrator to act as a liaison, communication hub, and knowledge-gatherer between all the things I do, and my mental space.
This role will be working super closely with me personally. So culture and values fit is crucial for success with this role.
The details
I’m looking for someone to come in and basically help me manage (and keep organized) my portfolio of businesses.
I am anticipating this to start as a part-time position but could easily grow into full-time depending on skillsets and interests. This is role is 100% REMOTE (although I do live here in Montana) but I do need someone physically in or around the Great Falls area.
As it is 100% remote and with team members and clients across the globe, you need to be comfortable working digitally. We can teach you the tools but you have to be ready and willing to work online.
Specifics will include:
Managing my inbox and calendar
Various administrative tasks include but are not limited to client scheduling, contract management, email follow-ups, and out-of-office communication support.
Ad hoc research and development of client-facing content and resources (i.e. articles, worksheets, and one-pagers).
Daily or weekly summarized + digestible reports on a list of things I keep tabs on
Handling communication between vendors, tenants, and everything in between
Research and administrative projects on business needs and interest
To a lesser extent, handling travel or the occasional personal task. This is definitely not the core and almost always is tied to work in some capacity.
Sharing funny memes you find
Hiring & managing one-time contractors for specific tasks related to the property management side
Who is a good fit?
I am looking for someone who is an amazing communicator, detail-oriented, takes initiative, is very well organized, and is invested in continuous learning and growth.
To succeed, you will have the following skills & competencies:
Strong communication skills
Strong organizational skills
Strong initiative (I don’t handhold, I never micromanage)
Shares my values
Not afraid to bug me if I’m not responding
Not afraid to follow up
Not waiting for me to give instructions
The application procedure is simple: First, answer the below questions in the application followed by a phone interview.
After the phone interview, you will be invited to perform a paid test project to get started.
Only serious applicants please apply. Native-level English, proper grammar, and personal maturity and responsibility are required. I’m looking for a real A Player to help manage and grow my world with me.
If you think that could be you please apply here.
