Running a contracting business means managing a lot of moving parts at once.

Crews, schedules, materials, subcontractors, invoices, change orders โ€” and now everyone is telling you to add AI on top of it.

Here is the truth: AI can absolutely help a contracting business run more efficiently. But it will not fix a data problem. It will make it worse, faster.

If your client records are inconsistent, your job codes are a mess, and your team is tracking hours in three different places โ€” no tool is going to sort that out for you.

Before you invest in any new technology, get these five things right:

Consistent naming conventions across all clients, vendors, and job codes. No duplicate records. A single source of truth for job data. Validated intake fields so every crew member enters information the same way. And a regular habit of auditing your data before problems stack up.

That is the foundation. Build on it, and the tools actually work.

Get the foundation right first. Then let the tools do the heavy lifting.

Here is something most AI vendors will not tell you:

If your data is a mess, AI will make it worse โ€” faster.

Before any agency invests in automation, five data basics must be in place. Consistent naming conventions. No duplicate records. A single source of truth. Validated intake fields. Regular audits.

That is not glamorous. But it is what separates agencies that get results from agencies that get frustrated.

Disconnected systems and manual handoffs are silent productivity killers. They slow your team, cause errors, and waste time.

Imagine two hands passing a baton โ€” what happens when thereโ€™s a gap? Thatโ€™s your workflow without a real connection.

Before adding AI, get your systems talking to each other and your handoffs seamless.

AI can amplify efficiency โ€” but only when your foundation is solid.

What manual handoff causes your team the most trouble?

08/18/2026

AI doesnโ€™t fix broken workflows โ€” it amplifies whatโ€™s already there. If your systems are disconnected and messy, AI just accelerates confusion.

When you layer AI on top of fragmented processes, chaos moves faster, not slower.

The solution? Start with clarity. Fix your workflows first. Then add automation. Finally, introduce intelligent AI, always with human oversight.

Clarity โ†’ Automation โ†’ Intelligence.

Where does AI actually fit, and where doesnโ€™t it?

AI belongs in intake, summarization, routing, scheduling, and repetitive follow-up.
Human judgment stays in negotiations, emotional conversations, final approvals, and complex advisory work.

The best teams know how to combine both:
AI handles the volume, humans handle the value.

This balance leads to smarter, more efficient, and more trusted operations.

How is your team blending AI and human expertise? Letโ€™s discuss!

08/17/2026

Too many teams try to solve productivity problems by adding AI โ€” without first fixing the foundation.

Hereโ€™s the truth: AI is only as good as the workflows it supports.

If your processes are broken or chaotic, AI will amplify those problems, not fix them.

Before jumping to new technology, focus on designing clear, efficient workflows with the people doing the work.

Fix the foundation.
Then add automation.
Then bring in AI intelligence โ€” with a human always in control.

What workflow challenge are you ready to solve first? Let me know in the comments!

โ€œYou gonna evolve or you not?โ€ That saying stuck with me.

Too many businesses try to use AI to fix broken workflows instead of fixing the workflow itself first. AI is an amplifier โ€” it makes whatโ€™s there louder.

If workflows are well structured, AI creates leverage. If workflows are chaotic, AI accelerates chaos.

In this video, I explain why curiosity, operational clarity, and workflow design matter more than just adopting new technology.

Clarity first, then automation, then intelligence โ€” with a human always involved.

๐ŸŽต We turned insurance operations into a reggae banger. You're welcome. ๐ŸŽต
Before you buy AI, do these 6 things first. ๐Ÿ‡ฏ๐Ÿ‡ฒโœ…
Most agencies are out here buying AI tools before they've even mapped their workflows. That's like buying a sports car before you've built the road. ๐Ÿš—๐Ÿ’จ
Here's what actually needs to happen first:
1๏ธโƒฃ Map your Workflows
2๏ธโƒฃ Identify your Bottlenecks
3๏ธโƒฃ Define Ownership
4๏ธโƒฃ Clarify Approvals
5๏ธโƒฃ Define Human Oversight
6๏ธโƒฃ Standardize Intake
THEN automate. Sequence matters. Foundation first. ๐Ÿ—๏ธ
We made it a whole vibe because the truth deserves a good beat. ๐ŸŽถ
Save this. Share this. Send it to the agency owner who just bought another AI tool they don't know how to use yet. ๐Ÿ˜…

โ€œA vision may act as an anchor, but as we mature, the destination itself evolves, requiring us to intentionally plot our course, adapt to the waves, and expand our reach toward the distant horizon.

These words resonate deeply with me. When I was laid off at 55, I had to chart a new course. It was no small feat, but I stayed curious, remained open, and adapted to change. At 56, I wrote two papers and completed four projects focused on AI in business using Microsoft Azure.

If youโ€™re in the same boat, you can do this. It is never too late to learn, evolve, and reach toward a new horizon.

Ever felt overwhelmed by tech at work? ๐Ÿค” Let me share my game-changing experience with data systems!

Tag someone who needs to hear this!

In my early career, I was eager to learn about applied systems (now Epic). I struggled to use it to its full potential. But then I joined a strategy team in Chicago to improve it for agents.

The real lesson? Collaboration is key! In school, weโ€™re taught to work alone, but sharing ideas helped me grow immensely.

Fast forward, and I pivoted from being a small agent to managing multiple commercial lines. Joining Renaissance Alliance was a turning point, giving me the support I needed.

Eventually, I merged agencies and transferred data across systems. It was challenging but rewarding. I learned that adapting to change is crucial in our industry.

Here is my story https://youtube.com/shorts/aDcAA8r8Y7U?feature=share

Whatโ€™s your biggest challenge in using tech? Letโ€™s chat about it!
