This will probably sounds strange coming from someone who builds automations for a living.

BUT…

Some of the best workflows I build, became *less* automated, intentionally.

Hear me out.

When clients first come to me, they often have the same goal:

*"Can we automate this thing?"*

Sometimes the answer is yes.
But sometimes... that's the wrong goal.

I once redesigned a workflow by deliberately putting a person back into the process.

Not because the technology couldn't do it.
Because it **shouldn't**.

There are moments in every business where human judgement adds more value than speed.

✅ A sales opportunity that deserves a personal call.
✅ An enquiry that doesn't quite fit the rules.
✅ A high-value client who shouldn't receive the same automated email as everyone else.

Automation is incredible at handling repetition.
People are incredible at handling nuance.

The best people who build systems know the difference.

These days, when I design workflows, I don't ask:

*"How can we automate this?"*

I ask:

*"Where does automation create value... and where should a human step in?"*

Because the goal has never been to remove people from the process.
The goal is to remove the repetitive work so people can focus on the moments that actually matter.

Sometimes the smartest automation decision is knowing **when NOT to automate.**

Especially when I was a new business owner, building something for myself...

I'd convince myself I just needed to...

✨ Tweak one more email.
✨ Add one more automation.
✨ Refine one more workflow.
✨ Think through one more "what if" scenario.

Before you know it, days (or even weeks) have passed, and everything just keeps getting pushed back.

And somehow... that "perfect" outcome still hasn't arrived.

I've since learned that successful launches don't need perfect systems.

They need reliable ones.
They need **progress over perfection.**

Otherwise, you'll wake up six months from now having still not launched the thing.

And worse yet...Your competitors have.

So, **THIS IS YOUR SIGN.** ✨

Launch now.
Launch before you feel ready.

Because every launch gives you real data.
Every customer interaction shows you what can be better.
Every tweak makes the next launch stronger.

Perfection doesn't create momentum.
Progress does.

So if you're sitting there delaying your launch because your systems aren't "quite ready"...

This is your reminder that version one is allowed to exist.

Launch it.
Learn from it.
Improve it.

That's how the best systems are actually built.

But the real turning point is when you suddenly realise...

"I haven't had to think about that task in months."

No more manually chasing leads.
No more forgetting follow-ups.
No more wondering if something has fallen through the cracks.

Everything just... happens.

That's what powerful systems look like.

They quietly handle the repetitive work so you can focus on growing your business instead of running around putting out fires.

The hardest build I've ever done wasn't a website.
It wasn't an automation.

It was an integration between multiple systems that all needed to work together as if they were one.

On paper, it sounded simple.

"Just connect them."

If only it were that easy.

Every platform has its own way of storing data.

Different field names.
Different formats.
Different rules.
Different limitations.

All updating all different times.

The tricky part isn’t about simply ‘connecting them’…

It’s always about getting the right information, at the right time, in the right locations

WITHOUT creating duplicates, errors or broken workflows.

And what often surprises me the most, is not the technical complexity…

Because ‘Hey’, I can always rely on my trusty side-kick, ChatGPT 🤓

But, it’s actually how much time get’s spent understanding the business BEFORE I right a single line of code.

What data exists?
Where does it live?
Which system is the source of truth?
What happens if one platform isn’t updated?
What if a customer updates their details in the "wrong" place?

Those questions matter far more than the code itself.

That's probably the biggest lesson I've learned over the years...

Great integrations aren't built by great developers.
They're built by people who understand how a business actually works.

The technology is just the final piece of the puzzle.

Here's why I cringe when I look at some of my old website projects…

Not because they were ugly.

Not because they didn't work.

Because I know they could have been so much better.

Years ago, my focus was almost entirely on functionality. If a page captured leads, loaded quickly and did what it was supposed to do, I was happy.

To be honest…I still believe **function beats flashy design every time**.
Because a beautiful website that doesn't convert is just digital art.

But here's what's changed.

Today, I don't have to choose between great function and great design.

I still use native drag-and-drop page builders because they're fast, reliable and easy for clients to manage.

But now I combine them with custom HTML, CSS and JavaScript (developed with the help of ChatGPT of course!) to push beyond what page builders were designed to do.

That means:

✅ More unique designs.
✅ Dynamic page elements that respond to visitors.
✅ Better user experiences.
✅ And websites that don't just look different... they *feel* different.

The technology has evolved.

My process has evolved.

And thankfully... so have my standards 🤓

Why?

Because businesses today have a growing problem...

Everything lives somewhere different.
