Alchemy Communications Inc. is looking for a highly organized, personable and proactive **Part-Time Executive Assistant** to support our Founder & CEO and growing communications team.

Alchemy is a Calgary-based communications, public relations and strategic advisory firm that helps organizations navigate complex issues, build trust, manage reputation, communicate through crisis, and engage with the people and communities they serve. Our work includes public relations, media relations, crisis communications, stakeholder engagement, government and municipal communications, public education campaigns, training, messaging, advocacy, and strategic planning. Recent Alchemy work has included PR and media outreach, thought leadership, event media strategy, communications and engagement frameworks, crisis communications protocols, and practical communications toolkits for clients across Canada.

We work with clients in sectors including municipalities, non-profits, sport, energy, health, public safety, social services, advocacy, and community organizations. Much of our work touches on sensitive, high-stakes, and values-driven issues, so we are looking for someone who is thoughtful, professional, discreet, and comfortable supporting work connected to social justice, equity, inclusion, public trust, and community impact.

About the Role

The Executive Assistant will help keep Alchemy organized, responsive and moving forward. This person will support day-to-day administration, meeting coordination, document management, client follow-up, scheduling, and light project coordination.

This is a great role for someone who loves details, takes initiative, communicates warmly and professionally, and can bring order to a busy, fast-moving consulting environment.

Key Responsibilities

The Executive Assistant will be responsible for:

Executive and Administrative Support
Managing calendar requests, scheduling meetings, confirming appointments, coordinating logistics, and helping the CEO stay organized and prepared.

Meeting Coordination
Preparing meeting agendas, joining meetings when needed, taking clear and accurate notes, tracking action items, and following up to ensure tasks do not fall through the cracks.

Client and Stakeholder Communication
Answering phone calls, responding to general inquiries, drafting thank-you letters, preparing follow-up notes, and helping maintain strong client relationships.

Document and File Management
Organizing digital files, naming and saving documents properly, maintaining templates, supporting proposal and contract filing, and helping improve internal systems.

Project Coordination
Supporting project timelines, tracking deadlines, updating task lists, coordinating with contractors or team members, and helping ensure client deliverables stay on schedule.

Office and Operations Support
Assisting with general administration, correspondence, supplies, CRM or contact list updates, invoice or receipt organization, and other operational tasks as needed.

Local Errands and In-Person Support
Although this is primarily a work-from-home role, the successful candidate must be able to drive in Calgary and surrounding bedroom communities when required for errands, meetings, printing, deliveries, mail, events, or client-related support.

Skills and Qualifications

The ideal candidate will have:

* Previous experience as an executive assistant, administrative assistant, project coordinator, office manager, or similar role.
* Strong project management and task-tracking skills.
* Excellent writing, proofreading, and note-taking abilities.
* Strong proficiency with Microsoft Office, including Word, Outlook, Excel, PowerPoint, Teams and SharePoint/OneDrive.
* Comfort using AI tools responsibly to support drafting, organization, research, summaries, templates and workflow efficiency.
* Excellent calendar management and scheduling skills.
* Strong phone and email etiquette.
* A high level of discretion and confidentiality.
* Strong attention to detail and follow-through.
* A warm, professional and personable communication style.
* Ability to work independently from home and manage time effectively.
* Valid driver’s licence and access to a reliable vehicle.
* Comfort working with clients and projects related to social justice, equity, inclusion, public issues, crisis communications and community impact.

Work Arrangement

This is a **part-time, work-from-home position** based in or near Calgary. Some in-person work, errands, meetings, or event support may be required from time to time in Calgary and surrounding communities.

Hours can be discussed, but we anticipate approximately **10–20 hours per week**, depending on workload and availability.

Compensation

Compensation will be based on experience. Please include your hourly rate expectations with your application.
