PA / OFFICE MANAGER
CONTRACT DURATION: Permanent.
CONTRACT TYPE: Flexible.
SALARY: Β£23,000 β Β£28,000 DOE
DESCRIPTION: Would you like to work for a Film and Advertising Production Company? BlackLab Films is a small but ambitious production company based in Cardiff but often shooting in London and internationally. You will enjoy a fast paced and diverse role, working closely with the Directors and Producer, acting as a key point of contact between them and their client roster, whilst also maintaining a broad spectrum of logistical and administrative tasks that support and power the day to day running of team and office.
General Overview of Tasks Required:
β’ Act as a point of contact between the Company and Clients.
β’ Must have experience or a solid understanding of Business Compliance, HR and Accounts.
β’ Coordinate and provide quality support by handling daily requests and queries appropriately, managing diaries and schedule meetings and appointments, making travel arrangements, process expenses and other
administrative duties.
β’ Take in large quantities of written and verbal communication quickly and produce accurate, timely and well-presented minutes and supporting documentation from Board meetings.
β’ Project Management, Produce reports, presentations and briefs
β’ Work to tight deadlines and perform well under sustained pressure with the capability of quick thinking in rapidly changing scenarios.
β’ Handling telephone calls professionally, ensuring a high level of customer service when interacting with internal and external customers.
β’ Hands on Office management to ensure the smooth running of both the Cardiff and London offices.
β’ Order stationary and office sundries as required.
A Little About You:
β’ Proven working experience as a Personal Assistant / Office Manager
β’ Excellent team skills and the ability to work collaboratively and co-operatively with colleagues, building effective working relationships with all functions of the business
β’ An aptitude for using own judgment and decision making with the ability to work on initiative
β’ Not afraid to get stuck in to positively improve the office with day to day tasks
β’ Highly organised, self-reliant, efficient and self-motivated with the ability to systematically plan own work and that of others
β’ Excellent IT skills including advanced knowledge of word processing, spreadsheet and presentation software package
β’ Outstanding organisational and time management skills β’ Ability to multi-task and prioritise daily workload
β’ Excellent verbal, written and proof reading skills with high attention for detail
β’ You understand working discretely with sensitive information and the importance of confidentiality
β’ You are an effective team player and have the ability to communicate clear and concise instructions.
