Deputy Dot Business Services

Deputy Dot Business Services I'm a Tech VA, Bookkeeper and Operations Manager, helping small business owners, coaches and business professionals to work smarter. What services do you offer?

Book a call with me talk over how I can help streamline your working day: https://zcal.co/ddbs/discovery Are you looking for a better work/life balance? Perhaps it’s time to think about using a virtual assistant in your business. You may hate answering emails, sending invoices, doing expenses (who doesn’t….), so maybe the next step is to offload these tasks to me, working as a Virtual Assistant f

or your business. But I can do that myself
Of course, you can. But using a Virtual Assistant allows you to prioritise your workload. We all know the adage about a great second in command clearing up the administration after the boss. Well, what if you don’t have that deputy? Then think about using Deputy Dot as your virtual assistant. I offer a wide range of services such as helping with invoicing, website management, chasing invoices. I specialise in making data easy to understand and act on, and travel arrangements. A more complete list can be found here but please contact me if you require something not offered. Some things will be too hard to do virtually so I will advise you if I feel I can’t help your business. I am here to add value, not slow you down. How do we work together? My working hours are 7am to 6pm, Mondays to Saturdays, so I will agree the times I block out for you during these hours. When I have holidays booked, I will give you plenty of notice to ensure you have no service interruption and I can help with sourcing a stand-in if required. If you would like more information about the services I can offer, or you need something bespoke to your business requirements, give me a ring on 01948 988941 or contact me here. After an initial no-obligation chat about your requirements, I will send you a custom proposal/quote based on the tasks and the time you would me to spend on them. If you decide to go ahead, I will formalise the quote in a contract, so both parties know exactly what we should expect from each other and time frames, if applicable. Give me a ring on 01948 988941 if you have any questions or click here if you would like to arrange a free no-obligation discovery call: https://zcal.co/ddbs/discovery

Many thanks and hope to hear from you soon,

Automation isn’t about building some grand, futuristic machine that does your tax return while you nap. It’s about stopping the daily drip of nonsense that eats your time. The sort of jobs you do on autopilot while muttering “why am I still doing this?” into your tea.

According to recent surveys, small businesses save an average of 10 hours a week with lightweight automation.

Start with tasks you repeat more than twice: payment confirmations, onboarding emails, lead routing — all easy wins. You don’t need perfect systems; you need fewer daft loops.

Small business automation isn’t about being fancy. It’s about stopping the daily faff that quietly eats half your working hours. Most people I work with don’t need anything dramatic — they just need their tools to talk to each other so they’re not doing the same job twice.

I talk to many business owners who want to automate but aren’t sure where to start. So they keep doing things manually because it feels safer. Totally normal. But the moment you let something simple — like MailerLite tagging a new lead automatically or Zapier moving information into the right place — things get lighter very quickly.

And that’s the whole point. It’s not about building a big, impressive system. It’s about shaving off those small, repetitive tasks that add up. Zapier says 66% of small businesses now see automation as essential, which doesn’t surprise me. Most of the gains come from simple fixes that make your day run smoother.

“I just need more discipline.”

That’s the daft part—solo productivity usually isn’t a willpower problem. It’s a decisions problem.

Every time I have to choose what to do next (reply now or later, which spreadsheet, which link, which version of the onboarding email), my brain spends energy on admin instead of the work that actually moves my business forward.

When I streamline the back office, I stop the daft micro-choices:
Reminders happen automatically.
Forms feed the right place.
Onboarding gets one clear path.
Emails get sorted, not stared at.

You don’t need “more discipline” — you need fewer decisions. Let’s make your systems simpler. If that sounds like what you need, just drop me a message and we can chat it through.

That “just log it here” moment always turns into 5 more apps.

Most small businesses run on 8–15 tools regularly. It sounds efficient… until data lives in three places and none of them talk to each other. Then you’re copy-pasting client notes from MailerLite into a spreadsheet, chasing form responses in random docs, and hunting for the one reminder you wrote weeks ago.

It creates:

- duplication (same info, different tabs)
- missed follow-ups (because the right place wasn’t checked)
- manual admin (work about work)

Tool fatigue is real too—research has found workers lose about 51 minutes a week to tool fatigue.

If you want a simple way to spot duplication in your stack, tell me which tools you’re using right now—and we can get your back office admin lighter.

Busy doesn’t scale when your hand-offs are scattered across three inboxes and five forms.

Scaling with automation isn’t about adding more apps. It’s about picking one “moment that must not fail” (enquiry → booked), then wiring everything else to it with quiet, reversible automations.

Try this next time you feel frazzled:
Write the journey in plain language.
Pick the single source of truth.
Automate one hand-off (even a tidy folder move) so your brain stops sprinting.

If you want me to help you spot your bottleneck and make it lighter, take tech off your plate. Send me a DM or book a call, and I’ll walk you through how I can take the load off.

Your calendar pings “whenever” — and somehow you end up losing 30 minutes to 1 hour a day to daft, non-work faff.

I see it most with coaches and early-stage businesses: one reminder here, a second one there, and every task needs a new decision. That’s not energy management. That’s decision fatigue wearing a shiny new coat.

One quiet scheduling rule fixes it:
One calendar.
One reminder style.
One handover step.

I’ll help you set it up so onboarding, client admin, forms, and follow-ups run on your natural rhythm (not your reactive system’s panic response). Let’s make your systems simpler.

If that sounds like what you need, just drop me a message and we can chat it through.

Automating the right parts of your business saves time — but only when the process is clear first.

I start by mapping your enquiry → booked → onboarded journey in plain language. Then I use Zapier-style automations to move information between the agreed steps, so the process runs smoothly without extra admin.

No messy tool sprawl. No unnecessary integrations. Just simpler systems that reduce decision-making and help your back office feel calmer.

If you’re not sure where to begin, send me the part of your process that feels most fiddly, and I’ll point you to the simplest starting point.

App confusion: it’s how most mornings start. One platform claims it’s “completed” ✅, the next says it’s “pending” ⏳, and that old spreadsheet? It just silently gives up. 😅

Most small businesses use between 8 and 15 different apps just to stay afloat. Sounds “efficient”… until you’re stuck re-entering data ✍️, missing updates 🔄, and double-checking everything just to be sure what’s actually been done.

You know the ones: MailerLite, shared sheets, sticky notes hiding everywhere 🗒️.

𝗦𝗼 𝘄𝗵𝗮𝘁 𝗮𝗿𝗲 𝘆𝗼𝘂 𝗹𝗲𝗳𝘁 𝘄𝗶𝘁𝗵?
Client info scattered across multiple platforms 💻.
Reminders that never seem to appear where you need them ⏰.
Onboarding that turns into endless copy-pasting 🫠.

I help you bring everything together under one roof 🏠, so all those fiddly admin tasks stop sneaking up on you.

Let’s simplify your tech stack. Drop me a DM or book a call to see how I can help you ditch the admin headache. 🙋‍♀️

Small business owners often treat automation like it’s optional — the business equivalent of stretching after a workout. Nice in theory, never done in practice.

Automating your repetitive admin isn’t complicated. It’s just sensible. And the barrier to entry is lower than most people think. With tools like Zapier, Make, and even built-in automations in the software you already use, you can save your time and sanity.

Recent data shows that 40% of small businesses that start automating say it reduces stress immediately. I’m not surprised. There’s a particular kind of satisfaction in watching a workflow run itself while you get on with real work — or dare I say it, finish early.

Start with one process. Then another. Before long, your business stops feeling like it’s being held together with duct tape and late-night determination.

Automation is how you quietly clean up your office systems without needing a full technical exorcism.

Pick the things you consistently forget to do until it’s slightly embarrassing. For most people: sending onboarding details, updating client folders, tagging contacts properly, and ticking off and adding tasks into your project management tool.

Research shows businesses using automation grow revenue up to 20% faster. Not because automation is magical, but because humans stop doing admin they hate and start doing work that actually matters.
