Deposit protection just became a lot less manual.

We've extended our API integration with TDS to now cover both the Insured and Custodial schemes - register, manage and track tenancy deposits directly inside PropCo, alongside the rest of the tenancy workflow.

As Mark Howlett, our Chief Product Officer, put it: "Deposit protection is one of the most compliance-critical touchpoints in the tenancy lifecycle and getting it right at volume means "building it into the workflow rather than bolting it on beside it."

For agencies and BTR operators managing multiple branches or complex portfolios, that's the difference between a process that holds together and one that depends on someone remembering an extra step.

Your data is only as useful as it is unified. Five systems means five versions of the truth and none of them fully trusted.

Which is why so much agency time goes on reconciling!

On one platform there's a single record for each property, tenancy and landlord. Update it once, it's right everywhere. Reports reconcile because there is nothing to reconcile manually.

Clean, unified data isn't a nice-to-have as compliance tightens. It's the thing every registration and every audit depends on.

So here is our question: How many places would you have to check to answer one question about a property today?

Everyone in proptech is shipping "AI features" and we know they are useful.

BUT here's the test that actually matters: does the AI change your operating model, or just sit on top of it?

Most don't change anything. They're bolted onto the same fragmented stack - faster typing, same manual handoffs underneath.

The version that compounds works differently.

Put the intelligence on top of one properly designed operating layer, and the work it removes stays removed. Permanently, not just faster.

So ask yourself honestly: are you buying a feature, or a foundation?

In BTR, two days is often all it takes to lose an applicant to someone faster.

Institutional demand is strong. But choice is real, and applicants know it.
🔻 Every hour spent chasing documents is an hour they're looking elsewhere.
🔻 Every reference checked by hand is a decision that could've already been made.
🔻 Every day an application sits in someone's inbox is a day closer to losing that tenancy.

The bottleneck was never the decision. It's everything before it, the triage nobody signed up for.

Move that work into the lead to lease flow itself, and "fast" stops depending on who's at their desk.

So here's the honest question: what's your application-to-first-response time right now and who actually owns it?

Would a new asset slot into your model this quarter or would it need its own workaround?

That question is the real test of whether a BTR portfolio scales cleanly.

🔹At one asset, it can work. A great manager holds it together.
🔹At ten, it stops scaling and the cracks show up as inconsistent resident experience, patchy reporting, and finance that's always behind in reality.

The operators who scale cleanly standardise the operating model before they add units - leasing, maintenance, finance and resident comms running the same way across every asset, on one layer.

Growth exposes your process. It doesn't fix it.

If your answer was "its own workaround", then this is the time to look at the operating model.

You're not overspending on software.
You're overspending on the gaps between your software.

🔻Every time your CRM doesn't talk to your finance system, someone re-keys the same data by hand.
🔻Every time that status doesn't sync, someone chases it manually.
🔻Every time a compliance step lives in a tool nobody checks daily, it gets missed quietly, until it isn't quiet anymore.

Do that across every tenancy, every week, and you're paying your own team to be the glue of those systems.

One platform doesn't just save you a login. It takes away the job nobody signed up for.

So here's the honest exercise: count your tools. Then count the handoffs between them.

For BTR Operators,

The rental application is the first impression a resident has of how an operator runs. Most are still a PDF, an email, and three days of chasing.

For a BTR operator filling hundreds of units a year, that friction is void days, dropped applicants, and a leasing team doing manual triage instead of closing.

An AI-driven application flow does the qualifying work as the applicant moves through it: reads the inputs, flags the gaps, routes the clean ones forward. The team spends its time on decisions, not data entry.

Speed to a qualified applicant is a leasing metric and an operations metric at the same time.

How long, honestly, is your current application-to-decision time?

Migrating platforms feels risky. Staying on a platform that's quietly winding down is riskier.

Agencies delay switching because the current system 'still works'. Then support gets slower. Roadmaps go quiet. The integrations you rely on start breaking and nobody's rushing to fix them.

A modern platform makes the move the least dramatic part: structured data import, a mapped migration path, and a single operating layer waiting on the other side rather than another set of disconnected modules.

The cost of switching is one project. The cost of staying is paid every month.

If you had to migrate this year, could you share what it would involve?

Stay tuned for a quick guide!

'AI that does the work' is easy to say in a keynote. Harder to ship in a product a team trusts on a Monday morning.

The test isn't whether AI can draft a reply or summarise an enquiry. Plenty can. The test is whether it works on top of operations that were actually designed for it or whether it's a clever layer bolted onto the same fragmented stack underneath.

Marginal gains come from the bolt-on. Compounding gains come from the design.

That's the bet worth making.

Where has AI genuinely removed work for your team and where has it just added a review step? Tell us in the comments.

Most BTR operators don't have a technology problem. They have an orchestration problem.

Leasing sits in one tool. Maintenance in another. Finance in a third. Resident comms in a fourth. Every one of them is fine on its own, and most of them don't talk.

At 500 units you can hold that together with people. At 5,000 you can't. The gaps between the systems become the job.

AI layered on top of fragmented systems produces marginal gains. AI layered on top of properly designed operations compounds.
