I once spoke to a business owner who hadn’t taken a proper weekend off in three years.
She was brilliant, passionate, talented, but totally burned out.
She wore every hat in her business. Sales? She did it.
Client onboarding? Her again.
Social media, invoices, scheduling, tech issues? … all her.

When I gently asked why she hadn’t hired help, she said,
“I just don’t trust anyone to do it the way I do.”
Sound familiar?
Here’s the thing: delegation isn’t about giving up control; it’s about taking back your power.
Power to focus on what you do best.
Power to grow.
Power to breathe.

When you work with a Virtual Assistant, you’re not just offloading tasks; you’re freeing up mental space, reclaiming time, and building a support system.
But if you’re not used to it, delegation can feel big.

So here’s how you can start:
✨ Start small.
Delegate one low-stakes task—maybe inbox sorting, calendar management, or research. Something that doesn’t feel too personal.

✨ Communicate clearly.
Give context, expectations, and a bit of grace. No one reads minds.

✨ Focus on what drains you.
If you hate it or it slows you down, that’s the perfect thing to hand off.

✨ Build trust.
Every successful VA-client relationship is built on communication and consistency. It’s a partnership, not a handoff.

And here’s what happened to that business owner?
She eventually hired a part-time VA (me) to handle her inbox and client scheduling.

Within a month, she said,
“I didn’t realize how much of my brain was tied up in stuff I didn’t need to be doing.”
She finally took a weekend off. Then a long weekend. Now, she takes every Friday afternoon to brainstorm, create, and lead the parts of her business she actually loves.

You don’t have to do it all.
You were never meant to.
Delegate with intention. Reclaim your time. And watch what opens up.

If no one’s told you lately: You’re doing better than you think.
Building something meaningful takes grit. Keep going.
That big win you’ve been waiting for? It might just need one more week, one more ask, one more post.
You’ve got this.

As a Virtual Assistant, the tools I use aren’t just trendy—they’re strategic. They're the backbone of how I help my clients scale smoothly and work smarter.

Here are a few I swear by:

⚙️ GoHighLevel – all-in-one platform for funnels, emails, CRM & automations

🌐 WordPress – for building beautiful, functional websites that convert

📆 Calendly – to simplify bookings

📤 ActiveCampaign – next-level email marketing with powerful automations

✅ ClickUp – my go-to for project management, from launches to daily ops

Tools matter—but how you use them matters more. I don’t just plug them in. I make them work together like a well-oiled machine—so you can focus on doing what you love.

Over the years, I’ve learned that the best VAs aren’t just organized—they’re emotionally intelligent.

Because behind every task is a person.

A business owner juggling a million things.

A coach trying to make an impact.

A team that needs seamless support.

Mastering tools and automation is important, but knowing how to communicate with empathy? That’s what truly sets a VA apart.

Here are 7 emotionally intelligent phrases that help me support my clients better every day:

1. "I’m here to help. What’s your biggest priority right now?"

↳ Clear priorities prevent overwhelm.

2. "Would you like me to handle this, or do you want to review it first?"

↳ Offers support while respecting their preferences.

3. "I can take care of that for you—so you can focus on what matters most."

↳ Reminds them why they hired you in the first place.

4. "I understand why this feels urgent. Let’s create a plan to tackle it."

↳ Helps reduce stress while staying solution-focused.

5. "Help me understand your vision, so I can align my work with yours."

↳ Ensures alignment and avoids miscommunication.

6. "I appreciate your feedback. Let’s fine-tune this together."

↳ Shows openness to collaboration.

7. "I see an opportunity to make this process even smoother. Want to hear my suggestion?"

↳ Proactive problem-solving adds value.

The best Virtual Assistants don’t just manage tasks.

👉 They 𝗹𝗶𝘀𝘁𝗲𝗻, 𝗮𝗱𝗮𝗽𝘁, 𝗮𝗻𝗱 𝗮𝗱𝗱 𝘀𝘁𝗿𝗮𝘁𝗲𝗴𝗶𝗰 𝘃𝗮𝗹𝘂𝗲.

How many hours would you need for this task?

I got asked this question today while on a call with a potential client.

I used to dread this question whenever I hop on a call.
Am I underestimating or underestimating the time?

If I underestimate, I will be undervaluing myself.
If I overestimate, I will scare the client away.

Either of this is not a good situation.

I, sometimes believe I have performed most of these tasks long enough to accurately estimate how much time I would need to complete something similar.

But, I have been wrong sometimes.

So here is how I handled it today.

The tasks were social media and content creation related so I decided to highlight my process to give my client a fair idea of what goes into it.

And then I gave a range instead of a specific time frame.

And finally, I offered an option for a fixed rate for the month. The fixed rate allows the client to relax about how much time is being spent on a task.

For me, I can compensate for underestimated timeframes with the overestimated ones.

I realized that offering a range and fixed rate have really been helpful.

Have you ever asked this question as a business owner? What option would you have preferred?

I am Virtual Assistant and a Web Developer. Do you need help with techy stuff, or mundane tasks that take all your time? I am just a DM away.

You failed yesterday so what? You are not going to try today?

What if yesterday was a learning curve?
What if it was preparing you for today?

This is a reminder to live in the present. Don't dwell too much on the failures of the past.

Get up, re strategize and do it again. Repeat it again and again until you succeed.

Happy Monday everyone.

Be honest with yourself? What do you really want to do? Not what others want or what they recommend. Just want you dream of.

Once you figure that out, take all your chances. If you see no chances, create one.

This is your Monday reminder to take that step you have always wanted to. The ones you are even afraid to tell other people.

Be awesome. Have a productive week. 😊

How are you planning to grow your business in 2023?
I will go first.

1. I plan to be more consistent with social media. It’s crazy that I manage other people’s accounts and barely have time for mine. So I am starting today. Lol.

2. I am going to attempt to niche down. I am not sure about that yet but I am loving Kajabi so much after spending half of last year learning more about it. And I love that I can still use all my skills if I decide to niche down.

3. I am going to start showing my face more. 😃. Yes, this is me.

4. I am adding another skill. I have always wanted to learn software engineering and I have taken the step this year.

5. I will be launching my website. I love my portfolio but it’s time to do more. 😁

I think I have said enough. Let’s hear yours.

How do you plan to grow your business this year? 💜

Your best may not always be ‘the best’ but that’s okay… as long as you are constantly trying to make your best the best.

Read that again.

I used to beat myself up so much when I make a work related mistake. It bothers me so much that it affects my productivity and work delivery for sometime.

It took a lot of inner work to train myself to quickly move on and learn to do better.

Working on myself has👇

👉 Made it easier for me to learn from my mistakes.
👉Made it easier for me to accept constructive criticism.
👉Made me more productive.
👉Allowed me to be learn from others.

Do you still beat yourself up for your mistakes?

Remember, your mistakes present an opportunity to learn and do better.

The fact that you are not seeing big changes does not mean what you are doing is not worth it. Focusing on the big changes may demotivate you. Instead, set little milestones and celebrate them. Happy Monday everyone. What did you last celebrate?
