"Where should I hire VAs from?" πŸ€”β£
⁣
You must have had this thought at least once after deciding to use a VA's help with your business.⁣
⁣
The short answer is: you can hire from anywhere as long as you find a good fit.⁣
⁣
A more specific answer is: don't hire based on location. Instead, consider the following questions to make a decision:⁣
⁣
⇉ Does the VA speak your language fluently?⁣
⇉ Does the VA have a reliable internet connection and a well-functioning computer? You don't want to hire someone only to hear about their equipment issues every other day.⁣
⇉ Does the VA fall within your budget? You don't need to go for the cheapest option, but you don't have to choose the most expensive one either, unless they bring highly valuable skills.⁣
⇉ Can the VA be available for calls when necessary? Consider time zone differences.⁣
⇉ Can the VA get paid without too many hassles? This can be a significant issue when hiring from certain countries.⁣
⁣
If these basic requirements aren't met, there's no point in screening someone for role-specific needs. Remember that, and you'll save yourself so much time and hassle.⁣

Do you repeatedly use the same job post when hiring from freelance or VA marketplaces?⁣
⁣
If so, you're limiting your chances of attracting good candidates.⁣
⁣
Just as you get tired of seeing the same generic applications, job seekers also get bored of seeing the same repetitive job posts. πŸ₯±β£
⁣
While you may still receive applications because different people see your posts at different times, why limit your post's effectiveness and miss out on potential candidates?⁣
⁣
It's a lot like marketing. You keep doing more of what's working, but eventually, it will fatigue.⁣
⁣
So, test. πŸ§ͺ⁣
⁣
Test different styles. Test casual vs. formal tones. Try short vs. long formats.⁣
⁣
After a few iterations, you'll start to notice patterns in your job-seeking audience's responses. These insights will help you make your job posts even crispier.⁣

When you post a job for VAs, be prepared to receive applications from everywhere. 🀯⁣
⁣
Your email inbox, LinkedIn, Facebook, or whichever channel that lets people contact you. And this is in addition to the main platforms where you post the job. ⁣
⁣
This influx can make it challenging to keep track, especially if you don't have a team to help. Recruitment is time-consuming, and you don't want yourself to spend hours communicating with people in several places.⁣
⁣
How to keep the applications organized, then?⁣
⁣
βœ… Specify a clear application method in the job post and mention to stick with it. ⁣
⁣
For example, if you're posting on LinkedIn, request that candidates fill out a specific form (which you'll need to create) and avoid sending direct messages or emails. If someone bypasses this instruction, it likely indicates they haven't paid attention to the detailsβ€”though there may be rare exceptions with valid reasons.⁣
⁣
By defining a single application method, you simplify the process and make it more manageable.⁣

Got hundreds of applications for the VA role you're hiring for?⁣
⁣
Here's how you can w**d out the poorest fitsπŸ‘‡πŸ»β£
⁣
Immediately disqualify the ones who don't follow the simplest of instructions, especially when it's clearly stated in the test that failure to do so will lead to disqualification. ⛔️⁣
⁣
The most basic skill you want to test in a VA is the ability to follow instructions. If that's missing, they're not ready yet.⁣
⁣
This may sound like a strict criterion to disqualify candidates, but it will save you HOURS otherwise spent on back-and-forth communication with applicants.⁣
⁣

Avoid this mistake when communicating with applicants for the VA role you just posted.⁣
⁣
Don't take days to respond to them or you'll lose their interest.⁣
⁣
You might wonder, "What if I receive dozens of applications? I can't talk to them all at once."⁣
⁣
Indeed, you may receive more applications than you can manage. However, you don't need to communicate with every candidate.⁣
⁣
Some applications will be so spammy that you can skip them with a quick glance. These applications clearly indicate, "I haven't even bothered to read your job post."⁣
⁣
Initiate a conversation only with the ones that look promising. Once you start the conversation, respond quickly. Don't leave them hanging for too long. If you foresee a delay, inform them when they can expect the next update.⁣
⁣
Remember, just as you're looking for red or green flags, the applicants are too. Building trust proactively from the start is key!⁣

An underrated tip when looking for VAs and freelancers:⁣
⁣
Mention "what's in it for them" in the job post. ⁣
⁣
It could be anything:⁣
β†ͺ️ Learning a highly valuable skill
β†ͺ️ Working for a renowned brand
β†ͺ️ Earning fat bonuses
⁣
There could be many more, but you get the idea.⁣
⁣
In a sea of hundreds of thousands of daily internet job postings, yours must be compelling enough to attract high-quality applications.⁣
⁣
So use this handy tip and make that job post count!⁣

Use this recruitment tip when looking for virtual assistantsπŸ‘‡ ⁣
⁣
Don't blindly use job descriptions from Google or ChatGPT.⁣
⁣
While turning to these sources is okay if you're new to hiring, you might end up including too many unnecessary details in the job descriptions. That makes the job look overwhelming and deters suitable candidates. It will also attract many irrelevant applications. ⁣
⁣
For example, if you need a content writer for short-text-based listicles, don't include higher-level skills like landing page creation, website copywriting, newsletter writing, or SEO-optimized blog post writing.⁣
⁣
Stick to what's essential for the role and mention nice-to-have skills only if they are relevant.⁣

What no one tells you about hiring and working with VAs:⁣
⁣
πŸ“Œ You'll have to sift through dozens of profiles until you find a few good ones, at least until you've developed a good enough screening process.⁣
πŸ“Œ You may receive hundreds of applications for some roles and still not find a good enough fit, so you'll have to spend much more time hiring than you expected.⁣
πŸ“Œ You'll need to be available to respond to applications, which could take hours or even days, depending on the volume.⁣
πŸ“Œ You'll need to create a solid onboarding to get them familiar with your working style, business values, processes, etc.⁣
πŸ“Œ You'll have to provide regular feedback so they know what to continue doing and what needs improvement.⁣
πŸ“Œ You'll need to develop comprehensive training materials to enable them to understand tasks and projects well enough to deliver the desired results.⁣
πŸ“Œ You'll have to have difficult conversations with them when the need arises.⁣
⁣
And the list goes on…⁣
⁣
If trained and managed well, a VA can be an asset. But that takes work, just like building a solid in-house team does.⁣
⁣
Have you worked with VAs? How's your experience been?⁣

βœ… They're motivated to learn new things
βœ… They show resilience in tough situations
βœ… They use constructive criticism as a means of improvement

Here's a quick tip to improve task management with your virtual assistantsπŸ‘‡

Define how urgent tasks should be treated.

Should they pause everything to tackle the urgent task immediately or switch to it after completing their current task?

Or, describe scenarios because not all urgencies are equal.

At the very least, the VA should ask you to clarify if they're unable to decide independently.

This tip works great even for in-house teams!

Would you be a nice boss and share it with your people? πŸ˜‰

Should you manage a team of virtual assistants (VAs) by yourself?

Answering the following questions will help you decide:
Do I have the 𝐝𝐞𝐬𝐒𝐫𝐞 to do that without adding too much work to my table?
Do I have the 𝐀𝐧𝐨𝐰-𝐑𝐨𝐰 to manage a team?
Do I have the 𝐀𝐧𝐨𝐰-𝐑𝐨𝐰 to do that?
Does this keep me or my team from other high-dollar producing work?

If you answered most of these questions with a No, taking on the VA management responsibilities is not the best idea.

What to do then?
Hire an in-house manager to manage the VAs.
Hire a managed VA service provider whose entire model is built around hiring, training, and managing the VAs so you don’t have to.

Both solutions come with an additional cost, but the help you receive will be totally worth it. Of course, the basic condition is to find a good one.

Do not work with VAs until you are ready toπŸ‘‡

βœ” Invest in onboarding – Develop a solid onboarding program to introduce new VAs to your company processes.
βœ” Be there to support – Setting expectations is good, but not enough. Be prepared to have regular check-ins with the VAs, address challenges, and provide ongoing support.
βœ” Create playbooks – Create step-by-step playbooks for frequently performed tasks to significantly minimize the error rates.
βœ” Embrace quality assurance practices – Imbibe quality checks into your workflow and provide continuous feedback to facilitate an ongoing improvement, especially (but not limited to) when getting started.
βœ” Set a measurement system – VAs can’t meet your expectations unless they’re measured against certain metrics and are made aware of their progress accordingly.

Sounds like a lot of work? Well, now you know why we built a whole business around it πŸ˜‰
