A customer places an order, and someone has to remember to send the confirmation. Someone else has to notify the right person, follow up on payment, update the customer and remember to check back later.
For a small number of customers, this might work perfectly well. Everyone knows what is happening, and someone is usually around to remember what needs to happen next.
But as the business gets busier, things start slipping. Not necessarily because people are careless, but because there are simply more customers, more conversations, more tasks and more things competing for attention.
The better approach is to build a process where one action naturally leads to the next. An order comes in, the right people know. A payment is due, the right reminder goes out. Something needs attention, it gets flagged. The team can focus on the work itself instead of trying to remember every next step.
