📑 Everything You Need to Know About PIT-11: What It Is, Where to Submit It, and How to File It

If you work in Poland, you’ve probably heard of PIT-11, a crucial tax document that reflects your income, taxes, and social insurance contributions. Here's a quick guide to help you understand the PIT-11 form and your responsibilities!

1️⃣ What is PIT-11?
PIT-11 is a form that contains information about your income, deductions, and tax contributions. It’s used for your annual tax return and must be submitted to the tax office.

2️⃣ Who is responsible for filling out PIT-11?
Employers are required to complete and send PIT-11 to both the employee and the tax office, except for certain low-income situations where PIT-11 is not necessary.

3️⃣ When should PIT-11 be submitted?
- Employers must submit PIT-11 to the tax office electronically by January 31, 2025.
- They must also deliver PIT-11 to employees by February 28, 2025.

4️⃣ Can PIT-11 be sent by email?
Yes! Employers can send PIT-11 via email in PDF format, but it must be signed with a qualified electronic signature. Always ask for a receipt to confirm the employee has received it.

5️⃣ What to do after receiving PIT-11?
- Check if you’ve received all your PIT-11 forms from any employers.
- Prepare additional documents if you plan to apply for any tax deductions or exemptions.
- Use the information to fill out your annual tax return, usually PIT-37 or PIT-36, depending on your employment situation.

6️⃣ What if I get paid in January 2025 for December 2024?
This income will be reported in next year’s PIT-11, as it pertains to the following tax year.

🧑‍💼 Zwolnienie z podatku – osoby do 26 roku życia a PIT-11
For young workers (under 26 years old) who are exempt from paying tax, the employer still needs to prepare the PIT-11 as an informational document. This applies to tax exemptions such as PIT-0 for young people, senior exemptions, the 4+ family allowance, and tax breaks for those returning from abroad.

💡 Note: When a young employee turns 26 in the middle of the month, they may still be eligible for tax exemptions for the remaining part of the month.

📤 Where to Submit PIT-11?
- Employers must send PIT-11 to the tax office electronically through www.podatki.gov.pl.
- Employees must file their tax return with the tax office responsible for their place of residence or stay. This can also be done electronically via www.podatki.gov.pl.

📄 What to Do if You Receive Multiple PIT-11 Forms?
Gather all the PIT-11 forms you received and file a single tax return. All income from different sources should be combined into one annual tax declaration that you submit to the tax office.

🌍 PIT-11 for Foreigners
Foreign workers in Poland are required to file a tax return. The form depends on whether they are tax residents of Poland:
- If the foreign worker has stayed in Poland for more than 183 days or has their main center of interests in Poland, the employer issues PIT-11.
- For non-residents, an IFT-1R form is issued instead.

If a foreigner does not have a place of residence or stay in Poland, the employer must send PIT-11 or IFT-1R to the tax office responsible for foreign taxation.

❌ PIT-11 and Missing PESEL Number
Until recently, it was possible to file a PIT-11 without a PESEL number by using a dummy number. However, as of 2022, foreign workers must have a PESEL number for tax purposes, unless they are running their own business in Poland.

📋 What About PIT-11 for Commission Contract (contract of mandate)?
People employed under contracts like umowa zlecenie (contract of mandate) must also file their tax returns (PIT-37). Employers are required to issue PIT-11 for contractors as well.

⏳ Tax Refund – How Long Will It Take?
The sooner your employer provides you with PIT-11 and you file your tax return, the faster you will receive any tax refund. If you file after February 15th, the maximum waiting time for a tax refund is 90 days (if you file a paper return in person). Electronic submissions are processed faster.

Remember, keep all your PIT forms safe and file on time to avoid penalties. If you're unsure about any details, consider consulting with a tax advisor!

PIT-11 is a document that contains information about your income, earnings, withheld income tax advances, and social and health insurance contributions for the given tax year. It is issued by your employer (or another payer) at the end of the tax year and serves as the basis for your annual tax return.

✅ Why is PIT-11 important?

PIT-11 is a key document that allows you to:

1. Settle with the Tax Office – Based on the information in PIT-11, you file an annual tax return (e.g., PIT-37), which helps determine how much income tax you owe or if you are entitled to a refund.

2. Verify your income – PIT-11 contains details about your salary (gross), income tax advances, and social and health insurance contributions. It allows you to compare your actual income with what was declared by your employer.

3. Claim tax deductions – In the PIT-11 form, you can include various tax deductions if you are eligible (e.g., child tax credit, tax relief for people under 26, etc.).

✅Why is PIT-11 the basis for filling out PIT-37?

PIT-11 is the document that contains all the essential information about your income from an employment contract, mandate contract, or contract for specific work. This data is necessary to correctly fill out the annual tax return, which for people employed under an employment contract, mandate contract, or contract for specific work is typically PIT-37.

✅What information will you find in PIT-11?

- Income (i.e., gross earnings),
- Withheld income tax advances that were deducted by your employer,
- Social and health insurance contributions,
- Costs of earning income (if applicable),
- Tax-free amount, if applicable.

✅What to do after receiving PIT-11?

After receiving PIT-11, you need to:

1. Check the accuracy of the data – Make sure all information is correct.
2. Fill out PIT-37 – Using the data from PIT-11, you complete the PIT-37, which includes your income, contributions, and any eligible deductions.
3. Submit the tax return – You must file PIT-37 with the Tax Office. You can do this online via the e-Deklaracje platform or in person.

Remember, the deadline for submitting PIT-37 is the end of April of the following year (for the year 2024, the deadline for submitting PIT-37 is April 30, 2025).

The submission of PIT-11 by your employer is essential to correctly complete PIT-37. Without this data, you will not be able to settle your taxes with the Tax Office.

In 2025, Poland has 13 official public holidays, some of which fall on weekends. By smartly combining public holidays with your annual leave, you can enjoy extended breaks while using fewer vacation days! 🏖️ Here's how to make the most of it:
Recommended Holiday Periods for 2025:
1. January: ❄️
- Public Holidays:
- January 1 (Wednesday) – New Year's Day 🎉
- January 6 (Monday) – Epiphany 🌟
- 📍Recommendation:
Take leave on January 2-3 (Thursday & Friday) and January 7-10 (Tuesday to Friday).
