Before you close the book on another month, take 30 minutes and answer four questions.

What made us money?

Not just what generated revenue. What was actually profitable?

Where did cash go?

Were there expenses, purchases, or changes that need a closer look?

What isn't working the way it should?

Look for recurring problems, delays, mistakes, or things that required too much time.

What needs our attention next month?

Pick the issues that actually matter instead of carrying a giant list forward.

A monthly review doesn't need to become another meeting or another 20-page report.

The point is to understand what happened while there's still time to do something about it.

Most businesses don't have a data problem.

They have a which-data-actually-matters problem.

Accounting software has reports.

Your CRM has reports.

Your advertising platforms have reports.

Your website has analytics.

You can easily end up with hundreds of numbers and still not know whether the business is actually getting stronger.

The purpose of a KPI isn't to give you another number to track.

It's to help answer a business question.

Are we profitable?

Are we growing?

Are customers paying us on time?

Is our marketing producing a return?

Are we retaining customers?

A useful dashboard doesn't show you everything.

It shows you what you need to know.

There's no shortage of business advice online.

The harder part is figuring out what's actually useful.

That's one of the reasons we created the Sqweeze Insights Library.

We wanted a place to talk about the things business owners deal with every day.

Hiring.
Cash flow.
Leadership.
Marketing.
Processes.
Technology.

Not from the perspective of someone trying to make business sound complicated.

From the perspective of people who work inside businesses and help solve these problems every day.

Sometimes the answer is complicated.

A lot of the time, it isn't.

Our goal with Insights is to make good business information easier to understand and easier to use.

Because information is only valuable if it helps you make a better decision.

There's a sentence that should make every business owner nervous:

"Only Susan knows how to do that."

It may be Susan.

It may be you.

Either way, when an important business process exists only in one person's head, the business is taking a risk.

People get sick.
People take vacations.
People leave.

Documenting a process doesn't mean creating a 40-page manual nobody will read.

Start with the tasks your business can't afford to have done incorrectly.

Write down how they're done.

Then make sure someone other than the person who usually does the job can follow the instructions.

That's not bureaucracy.

It's business continuity.

Being involved in your business is one thing.

Being required for every decision is another.

If every customer problem, purchase, approval, employee question, and operational decision has to come through the owner, eventually the owner becomes the bottleneck.

And there's a limit to how much one person can handle.

Building a stronger business means creating a team, processes, and systems that allow good decisions to happen without everything stopping until you have time to deal with it.

The goal isn't to make the owner unnecessary.

It's to make the business less dependent on one person for everything.

Revenue going up is good.

But it doesn't automatically mean the business is becoming more profitable.

More sales can also mean more labor.
More inventory.
More shipping.
More advertising.
More overhead.

If revenue grows 20%, but the cost of producing that revenue grows 30%, you're working harder to keep less.

That's why revenue should never be looked at by itself.

Growth matters.

But profitable growth matters more.

There are hundreds of numbers you can track in a business.

Most owners don't need hundreds.

Start with three:

Cash: How much do we actually have available?

Profit: After the expenses required to generate the revenue, what are we keeping?

Receivables: How much money have we earned that we haven't collected yet?

The specific metrics that matter will change from one business to another.

But if you don't have a clear picture of cash, profitability, and money owed to you, you're making decisions with part of the story missing.

Being busy and being profitable are not the same thing.

A full schedule feels good.

Sales going up feels even better.

But neither one tells you whether the business is actually becoming stronger.

More revenue can come with more payroll, more inventory, more overhead, more mistakes, and more demands on the owner.

Growth only works when the business gets stronger along with it.

Don't just ask, "Are we selling more?"

Ask, "Are we keeping more?"

That's a much better measure of whether growth is actually working.

Before you hire your next employee, ask yourself three questions.

1. Is this a workload problem?

Is there genuinely more work than your current team can handle?

2. Is this a process problem?

Would better systems, automation, or clearer expectations solve the issue instead?

3. Is this a people problem?

Do you have the right people in the right roles with the training and support they need to succeed?

Hiring can absolutely be the right decision.

But hiring to solve a process problem usually creates a bigger one.

Taking a few minutes to answer these three questions first can save you time, money, and frustration later.

Making a decision isn't usually the hard part.

Making the right decision is.

Business owners make decisions every day.

Should I hire?

Can I afford new equipment?

Is this marketing actually working?

Why does it feel like we're busier than ever but not getting ahead?

The quality of those decisions depends on the quality of the information behind them.

The better the information, the better the decisions.
