Budgeting for Video Production Travel

When a video project involves travel, budgeting can get tricky—unless you plan ahead. There are two main ways to handle travel costs with a client:

Reimbursement – You track every expense, keep receipts, and invoice them later.
Travel Buyout – You estimate the total travel cost and get paid upfront.

My preference? A travel buyout—it's cleaner, faster, and saves everyone admin headaches.

Just don’t forget to budget for the less obvious stuff:
- airport parking
- ground transport
- hotel parking fees
- crew meals
- mileage
- permits

Plan smart. Communicate clearly. Travel smoothly.

End every video interview with these two questions.

After you've covered all the required questions in a video interview, there are two final ones that almost always deliver gold:

1. "What excites you about this?"

Whether it’s a product launch, a nonprofit gala, or a new company culture—this question taps into emotion, passion, and purpose.
And more often than not, that moment makes the final cut.
Because people don’t just want to know what something is.
They want to know why it matters.

2. "Is there anything else you think is important to share?"

Again, this will generate personal, authentic emotion that will translate into potent material.

Outsourcing a marketing video? Don’t skip this conversation.

Before the first draft lands in your inbox, make sure your scope of work includes:
Clear turnaround timelines
Defined number of revisions
What happens if feedback is late

Too many projects stall (or go over budget) because expectations weren’t aligned upfront.

If you're planning a video project this year, let’s make sure your scope sets you up for success.

How Much Does a Marketing Video Really Cost?

If you're outsourcing a marketing video, the first question is always: "How much is this going to cost?" And the honest answer? It depends.

If you're not producing a Nike-level ad, most first-time projects land somewhere between $5,000 and $25,000. That’s still a wide range—but here’s what narrows it down:
Do you need help developing the creative or script?
How many shoot days and locations are involved?
Is it narrative (actors, sets, props) or docu-style (interviews, b-roll)?
Are you stitching content together or sculpting a story from complex material?

The clearer you are on these elements, the faster and more accurately a production partner can build a budget.

Outsourcing video isn’t just about what you want—it’s about knowing what you need.

What’s been your biggest surprise when budgeting a video project?

Most video pros fall into one of three categories: Technician, Artist, or Designer—and knowing which one you need will set your project up for success.

Technician – Masters of gear and technology, ideal when you have a fully developed vision and need someone to execute it precisely.

Artist – Focused on aesthetics, music, and mood, perfect for elevating visuals and creative expression within a structured plan.

Designer – The strategic thinker, blending technical and artistic skills to shape your story, messaging, and business objectives.
If you need more than just execution—someone to help craft a compelling, goal-driven story—look for a designer.
