Ditch the Hype – Build your System

It's easy to get caught up in the shiny new tech, but the real winners are going to build personal daily AI workflow systems that deliver consistent, measurable, scalable results.

Here is a blueprint to optimizing your workflows in GPT and Claude Projects

First thing I did was to stop reacting and start building an AI routine. If you're a solo entrepreneur or small team like me, this is the launch pad for scaling without burning out:

🔹 Functional Projects: Structure your work into clear, functional areas – marketing, operations, client management.
- Each project gets a defined purpose and guidance for measurable outcomes. - Clarity reduces noise and keeps you focused on what matters.

🔹 Custom Instructions & Templates: Have your project GPT create reusable, project-specific templates.
- This eliminates decision fatigue and keeps your output consistent.
- Don't reinvent the wheel – build once, iterate, and scale.

🔹 Seamless Sharing: Output content to to Google Drive or Docs for real-time collaboration.
- Don't let your ideas die in a black hole, get it out of the GPT
- make your work accessible, organized, and ready for action.

The difference between chaos and control for an entrepreneur is your system. Build it, refine it, scale it. That's how you move from hustle to high-impact.

Is Your Business Killing You?

Some days I think mine is... but it doesn't have to.

On the days that go well, I can see it so clearly - and I see it in others too.

When you take a step back and see that your business is working FOR you and not BECAUSE of you... that realization is huge.

If you can't step away for 3 days without disaster, then you don't own a business—you own a job. I was actually gone 3 days this week... and there was no disaster... great success! 🎉

So here's how to get back on top of the game:

🔹 Don't be the bottleneck
Most entrepreneurs believe they're irreplaceable. I did (occasionally still do).

This is a lie.

- What only YOU can do? About 20% of your current workload.
- The rest? Create systems and delegate.
- A solid system and workflow will save you a fortune in headaches and time.

🔹 Your calendar is sabotaging you
Stop managing minutes when you should be leading hours. (I don't remember who said this, but it's brilliant)

Instead:
• Block 2+ hours for deep work daily
• Implement one "strategy-only" day weekly
• Use AI to protect your focus time (and run your workflows!)

Master this and watch your strategic impact triple.

🔹 Step out of operations
If you're handling day-to-day tasks, you're not leading—you're managing.

Growth happens when you work ON the business, not IN it. Yes, it's cliche but true.

Ask yourself: What decisions have you made this month to move the profit needle?

🔹 Leverage technology aggressively
Every stuck entrepreneur underutilizes AI and automation.

The people I see advancing the most do it like this:
- AI systems handle 80% of customer interactions
- Content engines run without daily input
- Dashboards eliminate manual reporting and provide decision making intel
- Tools encourage team accountability without your involvement

These aren't luxuries—they're essentials for 2025.

The reality:
Your stress doesn't come from your business demands.

It comes from demands you put on yourself based on outdated leadership approaches.

Successful entrepreneurs don't work harder—they build better systems.

What's the first system you'll build to reclaim your time?

Politeness Has a Price Tag (and Why I Still Say Please)

It turns out saying “please” to ChatGPT costs OpenAI millions in electricity.
In a recent article, OpenAI CEO Sam Altman said:

“Tens of millions of dollars in extra electricity costs because people say ‘please’ and ‘thank you’ to ChatGPT. I still think it’s money well spent.”

At least he’s not charging us for it.

But I agree—it’s worth every penny.
And not just to avoid the AI apocalypse.

Do you talk to your dog like it’s a human?
(Of course you do.)

Maybe they understand us—our fears, desires… maybe not.
But we do it anyway.

Did you name your Roomba?
Mine’s named Roberto. He recently went on vacation…strange…

But when it comes to AI, the advice changes:
“Meh...It’s just software.”

Here’s the thing…

AI tools may not be sentient (yet), but they’re trained on us.
Our tone. Our prompts. Our patterns. They are a reflection of us.

So if we treat them like cold, emotionless task-bots,
Should we really be surprised when the output feels… robotic?

And let’s be honest...
What happens when you do ask Skynet to create a no fail marketing campaign
…after you’ve been treating it like an average DOS prompt?
Just saying. 😉

Remember this is the worst version of AI we’re ever going to see.

It’s only going to get more powerful, more present, and more human-shaped.
So how do we want to shape it?

As business owners, how we engage with employees, vendors, and yes—even AI, says something about who we are.

The energy we put in often dictates the quality of what we get back.

One quote on X stuck with me:
“The fact that our ingrained human politeness is translating into tangible energy consumption for AI highlights the increasing physical footprint of our digital interactions.”

This isn’t just about Big Tech’s utility bill.
It’s about the very human ripple effect of how we interact—with people, tools, and systems.

If you’re old enough, you know what GIGO means: Garbage In, Garbage Out.
It still holds true.

At the very least, politeness fosters better thinking in us.
It changes how we ask, how we consider, how we respond.

It might raise the AI’s energy bill—but it definitely lowers our friction and improves flow with the humans on the other side of the equation.

So I’m curious:

Do you treat AI like a transactional tool, a collaborative teammate,
…or a future overlord you're trying to stay on the good side of?

👇 Drop your answer below—I’m genuinely interested in your take.

Speaking AI: A Special Forces Lesson for Business Leaders

In my career as a Green Beret, I learned a lesson that is invaluable in today's AI business landscape.

No one liked language training. It felt like a distraction or just another task to stay off the Commander's hit-list—a hurdle between us and the real mission.

What took me too long to learn was this: Speaking a native language wasn't just about ordering schwarma or running a range. It was the foundation for genuine connections and earned respect.

Even with imperfect pronunciation, speaking our counterpart's native language changed everything. It transformed us from outsiders to trusted partners - immediately - and that meant mission success.

Here's what this means for your business right now:

AI is emerging as the native language of business transformation and growth.
I'm seeing too many businesses treat AI as just another technical skill, an app to deploy, or worse—a trend box to check.

They're making the exact mistake I made with language training.

The companies that will dominate their markets in the next 5 years aren't just "using AI." They're becoming fluent in AI as a language that connects departments, eliminates friction, and creates unmatched value.

Just like Green Berets who spoke local languages became cultural advisors (not just soldiers), business leaders who truly understand and communicate with AI will become transformation architects (not just managers).

You may not need to be native speaker (a 3/3 in Army speak)—but you have to be in the conversation.

Is your team learning to speak this new language, or are you still relying on translators and pointy-talkies?

If you're ready to make AI fluency your competitive edge, let's talk.

I help forward-thinking teams develop their AI "language skills" to create sustainable advantage in a dynamic market.

Strategic Implementation: Choosing Your AI Solution

The most successful businesses aren't limiting themselves to one AI tool.

Consider this strategy:
- Identify your primary use cases (content creation, research, customer service)
- Match capabilities to business objectives (speed, accuracy, creativity)
- Implement complementary solutions for different departments
- Establish clear usage policies to maximize ROI

By strategically deploying these powerful AI platforms based on their unique strengths, your business can gain significant competitive advantages in efficiency, innovation, and market responsiveness.

Which AI tool aligns best with your current business challenges?

The right choice could be the difference between incremental improvement and transformational change.

There are two types of entrepreneurs in 2025: Those using AI like it's Google (asking random questions, getting random answers) and those who've built custom AI workforces for the price of a cheap dinner.

A career in special operations taught me to approach problems unconventionally—finding strategic solutions with limited resources. Building custom AI assistants follows this same principle: maximum impact with minimal investment.

Three principles that make AI tools genuinely valuable for entrepreneurs:

🔹Build a complement, not a clone. The goal isn't to replicate yourself, but to amplify your strengths and fill your gaps. Just like hiring a team member, your AI should bring something new to the table.

🔹Treat AI as a real person. When you communicate with AI as if it were human, you naturally provide clearer instructions and get better results. It's like talking to your emotional support chihuahadoodle—it's about switching your brain into effective communication.

🔹Give your AI assistant context and identity. The difference between saying "write me content" versus "you're a marketing strategist with 10 years of experience in my industry" can be the difference between winning or losing a client. Context transforms generic outputs into tailored solutions.

The $20/month I spend on ChatGPT Plus might be the best business investment I've ever made—and it's only getting better. AI tools don't just save time—they create strategic leverage with second and third order effects that set you apart in your market.

Most businesses are still using AI like it's Google—asking generic questions and getting generic answers. When you build a tool aligned with your specific business goals, communication style, and core values, you're creating a force multiplier for success.

What can a custom AI assistant do for you today?

If you want to build your own assistant, I created a step-by-step tutorial video on how to do it (if you need help, message me):

The Mindset Shift Leaders Need for AI Implementation

I'm a podcast junky...and I just finished listening to a great interview with with a fellow AI-nerd, and he sees the same thing I've noticed when working with small businesses:

The biggest barrier to AI adoption isn't the technology—it's our resistance to change.

Did you know organizations are losing key talent because they're restricting access to AI tools? Think about that: Your most tech-savvy employees are leaving because they can't use tools that make them 5x more productive - FOR YOU! (Where have I seen something like this before...)

Here are three things I took away from this..

🔹Start small, learn fast - Rather than attempting to change the whole organization at once, focus on one high value use case over a 6-8 week trial..then itterate.

🔹Mindset over management. Heavy governance frameworks before experimentation kill innovation. Adopt a startup mindset and you will see real results. Controlled experimentation with guardrails, not roadblocks.

🔹Show, don't sell. Using AI to analyze customer feedback can identify product opportunities, and generate revenue within 90 days. That's the kind of practical win that builds momentum.

As a Green Beret, we are all about force multiplication—equipping teams with the right tools and strategies to generate organic, scalable success. That's exactly what effective AI implementation should look like.

What's your organization's approach to AI adoption? Are you fostering experimentation or unintentionally creating barriers?
