We are looking for an Office manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office manager duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as a Front office manager or Office administrator would be an advantage. A successful Office manager should have experience with a variety of office software (Quickbooks, Microsoft Office, and Outlook) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

Responsibilities

Responsible for incoming and outgoing phone calls and emails.
Provide excellent customer service to all customers
Assist walk in customers
Maintain the office condition and arrange necessary repairs
Organize office operations and procedures
Prepare orders – Create Estimates, Sales orders, Invoices, Receive payments.
Ensure that all items are invoiced and paid on time
Manage contract and price negotiations with office vendors, service providers and office lease
Assist in the onboarding process for new hires
Address employees queries regarding office management issues
Liaise with facility management vendors, including cleaning, catering and security services
Check orders as they are finished with production for quality control before being given to the customer. Ship orders out according to customer need or deadline.
Place product orders for the correct item with the correct vendor.
Ensure proper record of Accounts Payable. Create Purchase orders, receive items, enter bills, etc.
Keep calendar updated with customer orders, measurements, installations, meetings, scans, employee vacation, etc

Skills

Proven experience as an Office manager, Front office manager or Administrative assistant
Knowledge of office administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Hands on experience with office machines (e.g. fax machines and printers)
Familiarity with email scheduling tools, like Email Scheduler and Boomerang
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

We are looking for a competent Office Assistant to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. We are looking to hire a part time position from 1pm - 5pm Monday - Friday. With the right candidate, the position could transition into full time.

Responsibilities

Organize office and assist associates in ways that optimize procedures
Provide excellent customer service to all customers and assist walk in customers.
Invoice, ship, and collect payment for completed orders.
Check orders as they are finished with production for quality control before being given to the customer.
Schedule and plan meetings and appointments and keep calendar updated.
Monitor level of supplies and handle shortages
Resolve office-related malfunctions and respond to requests or issues
Coordinate with other departments to ensure compliance with established policies
Maintain trusting relationships with suppliers, customers and colleagues
Perform receptionist duties such as answering the phone and taking messages.
Keep office free from clutter

Skills

Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
Knowledge of QuickBooks Desktop is a plus
Working knowledge of office equipment
Excellent organizational and time management skills
Analytical abilities and aptitude in problem-solving
Excellent written and verbal communication skills
Proficiency in MS Office

Production Workers are responsible for performing tasks relating to all production jobs that come in. Below are some of the main tasks and objectives of this position:
• Review Sales Orders
• Prepare files/equipment for production (scanning, designing, proofing, printing, cutting, laminating, mounting, etc.)
• Perform production tasks (scanning, designing, proofing, printing, cutting, laminating, mounting, installing, etc.)
• Maintain Printers
• Maintain a clean and safe work environment (sweep floors, wipe down tables and equipment, take out trash, etc)
• Perform related duties as assigned by supervisor.
• Maintain compliance with all company policies and procedures
• Occasionally answer phones or handle customers in store.
• Assist Office Manager with day to day duties.

Education and/or Work Experience Requirements:

• Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
• Excellent computer proficiency (MS Office – Word, Excel and Outlook)
• Adobe Photoshop/Illustrator experience is a huge plus.
• Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
• Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices

Physical Requirements:

• Ability to safely and successfully perform all essential job functions
• Ability to maintain regular, punctual attendance consistent with company standards
• Must be able to lift and carry up to 50 lbs

Chris and Kara started this company in 2014. They chose the name Impress By Print because they love to impress our clients with the quality of our work! They love owning a business because not only does it provide for their family, but it provides a way for their employees to be self reliant as well.

They have been married for 16 years and have 5 beautiful children ages 7-16 years old. Their whole family is very musically talented whether in singing or playing the piano.

They are both so kind to us as their employees and to every customer that walks through the doors! We could not ask for better bosses.
