🤔How much of the software you pay for does your team actually use?

We asked. The results were interesting:

🟢 35.5% — All of it
🟡 29.0% — About half
🟡 22.6% — Less than half
🟡 12.9% — Not sure, and that’s the problem

So, 64.5% of respondents aren’t using all of the software they’re paying for.

That’s not necessarily a training problem.

Sometimes the issue is much further upstream: unclear processes, inconsistent data, disconnected systems, or a CRM that was configured around the software instead of how the business actually operates.

Before you blame CRM adoption, look at the foundation.

New data from Pax8's Q2 2026 small business survey: only 12% of businesses without AI say they're ahead of their competitors on technology. Businesses using AI? 31%. That gap already exists. It's not coming. It's here.

đź’ˇNow the number that should really worry you: even among companies that paused their tech spending this year to "wait and see," 49% still admit they won't be competitive in three years without AI.

They know they're behind. They're betting the clock moves slower for them than for everyone else. It won't.

In manufacturing, larger companies are adopting AI at more than twice the rate of smaller ones, and every quarter that gap widens. A competitor automates one more process. Quotes go out faster. Costs drop. Your customer notices before you do.

The fix isn't buying AI tools and hoping. AI only works on clean data and connected systems. Most businesses are trying to bolt it onto a CRM nobody updates or an ERP that doesn't talk to anything else. That's the part to fix first, and it's the part that takes real time.

The businesses that wait aren't avoiding the decision. They're just letting someone else make it for them.

I've been saying this for a while, so it was nice to see IndustryWeek publish an article that echoes the same message.

Everyone is talking about AI, but AI isn't the solution to disconnected businesses.

If your sales team, operations, finance, and production are all working from different systems or different versions of the data, AI isn't going to fix that. It can only work with the information it's given.

The companies that will get the most value from AI aren't necessarily the ones buying the newest AI tools. They're the ones investing in connected systems, clean data, and processes that allow information to flow across the business.

That's where real transformation starts.

It's encouraging to see the conversation shifting from "How do we use AI?" to "How do we build a business that's ready for AI?"

Here's something I've noticed: the migration is never the hard part. What happens three months after go-live is.

We just finished moving a client off of Salesforce with over 26,000 legacy records, commission calculations rebuilt from scratch, years of manual residual lookups replaced with a payout process they could finally audit. The migration went fine. That part's over.

The real conversation started after: who keeps this running? Reps come and go. Product lines shift. Someone adds a field to fix one report and breaks three others.

A CRM isn't a project you finish. It's a foundation someone has to keep tending, or it quietly erodes.
