After the objective of your communication plan is defined, the next step is to know the audience to whom the messages will be sent. Or, better stated, know your audiences. This rule is applicable to any kind of message planning, whether it be a letter or email, speech, or essay. Uncomplicated messages (like announcing a happy hour or birthday cake in the lounge) might be a quick note that is blasted to a single audience (the department). [ 225 more words ]

In the post Establish a Culture of Trust, I explained the importance of gaining trust of your organization. One of the key ways to do this is through listening. Upon further reflection, I realized that the advice is incomplete. That post discussed opening your ears to the advice of the people who know your processes in and out. They touch the… [ 265 more words ]

Why a Communication Plan?

Communication plans are necessary to thoughtfully consider the most important elements of the information you are sharing.

Consistency in messaging is a significant reason for failure. While determining your message (what to share) and planning its distribution (when to share), also consider the importance of presenting a consistent message. Consistency builds an audience through regular output. This could be through branding, timing, and/or content. Think about it as setting an expectation with your stakeholders. [ 395 more words ]

Once you determine what to share in your communication plan, plan the messages out. Building awareness around your message is equally important. After all, you worked hard to make the decision - give it the best chance at succeeding by engaging with your audience. After all, your fringe stakeholders need to know enough to maintain interest and know what it happening without overwhelming them. [ 319 more words ]

Plan to share the difficult decision that you made so it will be the most effective in raising awareness and have the greatest chance at success.

Now that we have a blueprint for communicating effectively, we have to determine what is important to share to our stakeholders. Our stakeholders could be peers, staff, clients, partners, community members, the list goes on. For starters, understand that transparency is not sharing for the sake of sharing. I like to think of transparency as more the ability to set expectations on when you will share information. [ 432 more words ]

Communicating is most effective in a culture of mutual respect and trust, which is founded on Honesty, Integrity, Credibility, and Transparency. There are certainly ways to convey a message that will be heard (like under the threat of physical harm), but the effectiveness of sharing a message that resonates with a group of people due to its culture will be much higher than any other circumstance. My experience establishing a culture of trust and effective communications rocketed under Dustin Howard, then the Senior Director of my growing IT department. He espoused the values of Honesty, Integrity, and Credibility. He was a true visionary, seeing the potential in his people that most were unable to see, and trusting them to do their jobs. At this time in his career, he was a rising star, coming up in the company by doing things… [ 480 more words ]

No matter the stage of your organization, trust is fundamental. This is not news, but it is easily and quickly forgotten. Which is a problem within itself, certainly. How do you generate a culture of trust, though? A good question especially in a difficult environment. Although the answer is simple, its implementation is not, and it will take a long time. For a skill that everyone is supposed to automatically have, effective communication is sorely lacking. Not just in business and politics but also in relationships; basically, in every facet of our lives. In response to a SalesForce.com study in 2012, 86% of executives said that workplace failures were due to lack of collaboration and ineffective communication. The infographic that they created with those results (conveniently posted… [ 268 more words ]

File the revelation that communication is important under other obvious statements like, 'the sky is blue,' or, 'pain hurts.' Of course communication is important! Then why do we pay it so little attention? Communication and communication planning is often viewed as soft skills, something that people are expected to have. Yet, so many of us are horrible at this, which has real consequences in the workplace. [ 252 more words ]
