NOW HIRING: OPERATIONS COORDINATOR (TEMP-TO-PERM OPPORTUNITY)

Polaris Brand Promotions, a nationwide promotional staffing agency based outside of Philadelphia, PA, creates unforgettable brand experiences for consumers.

The Operations Coordinator will be responsible for assisting the Operations team with all related duties and tasks. In addition, the Operations Coordinator will take on ad-hoc projects as needed to support the growth and development of the business. This position will provide a vast deal of exposure to various aspects of a promotional staffing agency, including marketing, sales and operations.

Job Duties
• Recruit and interview brand ambassador talent
• Participate in onboarding calls with new and existing clients
• Maintain staffing portal and related scheduling files
• Confirm weekly shift details with accounts and venues
• Distribute shift details to brand ambassadors
• Coordinate brand ambassador training sessions
• Compile recap reports, ensuring completion and accuracy
• Assist with additional projects as needed

Qualifications
• Bachelor’s degree in marketing or related field preferred or industry experience required
• Must be detail oriented
• Computer literacy, including experience with Microsoft Excel and PowerPoint

Compensation & Other Details
• This is a temp-to-perm opportunity with the opportunity to become a full-time salaried position based upon the contractor’s performance and the agency’s needs at the end of the contract term
• This is a contract position and is not eligible for overtime, PTO, worker’s compensation or other benefits
• Rate is $20.00 per hour
• $3,500 bonus if contractor remains on project (does not resign and is not terminated for cause) until at least December 31, 2026
• Working hours would be 8:30am to 5:00pm Monday to Friday, excluding holidays

Sponsorship events come with promo staffing needs! Our Florida team ran sports activations at a Globant After Party, bringing to life a vision brought to us by Unlock Entertainment. This was before the 2026 FIFA World Cup, where guests were invited to participate in The Perfect Shot ⚽️ - developed in partnership with FIFA - to motion capture their free kicks in a tech-infused environment. We kept the energy, excitement and the engagement at a max, adding to the atmosphere and helping create a memorable night.

Back with another set of statewide Wigle Whiskey tastings all over Pennsylvania! We staff multi-market in-store demos to sample a variety of bottles, encouraging shoppers to shop and support local. Swipe to the end to see the chillest Wigle Whiskey bottle of them all 🥃🧊 featured at the Wigle Whiskey tailgate event for the Pittsburgh Pirates vs Philadelphia Phillies game. It was fun to bring our local teams together too! 🧡

Oklahoma demos to support the Wellwerks product launch at multiple Homeland Stores this weekend! Wellwerks™ and Nüwerks™ wellness program launched exclusively by the Associated Wholesale Grocers in partnership with Step Change Innovations and we are honored to support with promo staffing for their in-store demo campaign to allow people to try their new products while learning all about their functionality and health benefits. In an ever-changing world of new products, store samplings are one of the smartest ways to reach shoppers. Shoppers sampled and took in brand / ingredient information about a variety of wellness foods, beverages & modern nutraceuticals, including popcorns, trail mix & vitamin gummies. We got great reviews to send to their team! Shout out to our brand ambassador who tailored her demo and brand knowledge shared to the products the store had on the shelves.

From Philly to Savannah, our trade show booth staff worked alongside the co-founders of TextByChoice at 2 major conventions in June: Netroots Nation and Georgia Municipal Association's Annual Convention. Additional brand ambassadors at expos work alongside teams to help with lead generation, attracting people to the booth, and product demonstrations. For TextByChoice, we distributed brand info, spoke to the nuances of how this product specifically could benefit convention attendees, answered questions and helped bring the right energy to these progressive events! And when the client asked if our promo staff could wear their brand color blue, we wore blue! Our services are customizable in many ways.

Always innovating our work with our clients! For Nutre Meal Plans, we brought fresh food samples to fitness locations around Philly and shared QR codes and pamphlets full of information, along with vouchers for sign-ups. People were excited to learn about clean products they could incorporate into their gym lifestyle and were interested in the variety of options. Behind the scenes, operations handled transportation of food fresh from the kitchen and supplies from a local storage unit. It's always a good idea to meet your audience where they are, and if that is a gym or yoga studio, we can work with you to make that happen.
