Devine Communications Corp., a 30+ year old advertising agency in Tampa Bay is seeking a well-rounded individual who is organized, outgoing and has the ability to multi task, to join our team as an Administrative Assistant.

Position: Administrative Assistant
Candidate will be responsible for (but not limited to) Answering and routing calls, greeting clients/vendors, administrative support for office.

Duties Will Include, But Not Limited To

• Greets visitors and clients
• Answers and screens incoming calls
• Ability to assist staff with administrative support
• Coordinates staff and client lunches when necessary
• Receives and distributes mail, packages, transmittals and messages
• Facilitates outgoing mail, packages and messages
• Schedules and maintains appointments when requested
• Proficient in Microsoft Office, and Google Cloud
• Manages printing, postage, telephone, fax machines and associated supplies
• Maintain project files and filing system
• Prepares correspondence—letters, excel reports, transmittals, etc.
• Updates project log for weekly staff meeting

Being flexible with work duties and the ability to work well with others including staff and outside partners is a must.

Qualifications

• Professional Appearance
• Related Experience
• Managing multi line phone system
• Strong computer skills (Word, Excel, Outlook, PowerPoint) a must
• Focused, organized, detailed and able to prioritize work
• Positive Attitude (sense of humor helps)
• Ability to work under deadlines, in a team environment
