Sometimes the right answer isn't a Voice Agent.

I recently spoke with a business owner who was missing around 5โ€“10 genuine customer calls each week.

He still wanted to speak with those customers personally, so we explored several options โ€” including whether a Voice Agent could operate during specific hours.

But after understanding the business, the customers and what he actually wanted to achieve, we concluded that a Voice Agent wasn't the right solution for this particular situation.

Instead, we're putting a simple, cost-effective missed-call text back in place.

When a call is missed, the customer will receive an immediate message letting them know the business will get back to them.

We'll review the results in a couple of weeks.

Did it help keep customers warm?
Did it reduce lost opportunities?
Most importantly, did it help eliminate some of the opportunities currently being missed?

That's the part I'm interested in finding out.

A Voice Agent may have been the more valuable project for me, but it wasn't the right solution for my client.

Why sell something that doesn't solve the problem?

I'd rather deliver something that works, prove its value, and build from there.

Every customer review tells a potential customer:

Someone trusted this business before me.

That's why I don't understand businesses that collect hundreds of enquiries...but barely collect any reviews. Business is only going to go deeper online and if you don't have a process in place to capture reviews, make it your priority this week. It's easy to do, and the impact over time could be huge.

Lessons From The Field

When I speak with businesses considering a Voice Agent, the conversation often starts with what they want it to do.

Answer calls. Book appointments. Answer questions. Transfer callers.

But designing a Voice Agent that works properly within a business requires much more thought than simply deciding what the agent should say.

The technology comes later.

The first step is understanding the business.

Who are the customers?
What are they trying to achieve?
Why are they calling?
What does the business need the agent to accomplish?

Then comes the existing customer journey.

What happens today when someone calls?
Who answers?
What happens when nobody answers?
Where are enquiries captured?
Where should the agent hand over to a person?

Then we look at the telephone system.

Numbers, routing, transfers, hunt groups, DIDs, voicemail, opening hours and everything else that sits behind the call.

Only once I understand the business, the customer and the existing infrastructure can I start designing the agent.

Because building a Voice Agent isn't just about making something that can talk.

It's about designing the right conversation around the business.

Your next customer might never visit your website.
